Where the manual work goes

In practice

Example: how listing-portal inquiries land in your CRM

An agent has a dozen or so properties listed on Aruodas.lt and Domoplius.lt (Lithuania’s main property listing sites). Inquiries come by email, phone and through the portals, and some get lost among other messages.

  1. 1

The portals send an email for every new inquiry. A Gmail filter labels these messages, and a Make or n8n scenario picks them up as soon as they arrive.

  2. 2

AI pulls out the name, contact details, the property (from the listing link or address) and what the person wants: a viewing, a question about the price, or a home of their own to sell.

  3. 3

A contact and a deal are created in Pipedrive or HubSpot and linked to the property. If the person is already in the CRM, the new inquiry is added to their record instead of creating a duplicate.

  4. 4

AI drafts a reply with the property details and open viewing times from the agent’s Google Calendar. The agent checks it on the phone and sends it with one tap.

  5. 5

If the person hasn’t answered after a few days, the CRM creates a reminder for the agent to call – the automation doesn’t chase leads with repeat emails on its own.

Result: Every written inquiry ends up in one place in the CRM, and the agent can see who is still waiting for a reply. Retyping details from emails goes away.

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Do Aruodas.lt or Domoplius.lt have an API for inquiries?

As far as I know, neither offers a public API for pulling inquiries, so the usual approach is to work with the notification emails they send. That’s reliable as long as the email format stays the same; if it changes, AI usually still reads the content, but I check the scenario and fix it if needed. Options for uploading listings (feeds or imports) have to be checked with each portal separately.

Will AI-written property descriptions be accurate?

AI writes only from what you give it: floor area, floor, heating, energy class, your notes from the viewing. To keep it from inventing details (“newly renovated”, “quiet courtyard”), it’s instructed not to add facts that aren’t in the data, and the agent reads every description before it’s published. Responsibility for the listing stays with the agent.

I work alone and don’t have a CRM. Is it worth starting?

You can start without one: inquiries can flow into a Google Sheets file with statuses and reminders. When volume grows, the same structure moves easily into Pipedrive or HubSpot (HubSpot has a free CRM plan). What matters most is having every inquiry in one place, not spread across three inboxes and your phone.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
