How it works

Pipedrive at the centre of your systems

Pipedrive is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

Use cases

What you can automate with Pipedrive

  1. 01

    Automatic lead handling

New enquiries from your website, email or WhatsApp automatically create a Pipedrive deal and are assigned to a sales rep.

  2. 02

    Follow-up sequences

Automatic emails and reminder tasks on a preset schedule after every contact.

  3. 03

    Deal monitoring

An automatic alert to the sales rep if a deal’s status has not changed for more than 7 days.

  4. 04

    Weekly sales reports

Every Monday the manager gets a summary in Slack: new leads, deals won, conversion rate.

In practice

Example: a stalled Pipedrive deal reminds the team about itself

At an equipment rental company, three salespeople manage deals in Pipedrive. When things get busy, some deals sit in the same stage for weeks, and the manager only notices at the end of the month.

  1. 1

Every morning the workflow checks open deals through the Pipedrive API and finds those whose stage hasn’t changed in more than 7 days and that have no scheduled activity.

  2. 2

For each such deal, a Pipedrive activity is created for the responsible salesperson, due today, so the reminder shows up where they already work.

  3. 3

AI reads the deal’s latest notes and emails and suggests a one-sentence next step, such as “customer was waiting for a price with delivery – send an updated quote”.

  4. 4

If nothing changes within another 3 days, the manager gets a short list in Slack with links to those deals.

  5. 5

The salesperson decides whether to follow up, move the deal to another stage or mark it as lost.

Result: Deals no longer get quietly forgotten, and the manager sees problems the same week rather than at the end of the month.

What you need

What we need to get started

  • A working Pipedrive account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the Pipedrive integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Is the Pipedrive API available on every plan?

API access is included in all Pipedrive plans, but request limits depend on your plan and number of users. Pipedrive’s own workflow automations, and how many you can have, also vary by plan. Some work can run inside Pipedrive and some in an external workflow, so before starting I look at what your current plan allows.

Whose account does the workflow use to connect to Pipedrive?

Every Pipedrive user has a personal API token, and the workflow gets the same permissions as that user. That’s why I usually use a separate technical user with only the rights it needs, or an OAuth app, so the integration doesn’t stop when an employee leaves.

What if we rename fields or stages?

Custom fields in Pipedrive have a fixed internal API key that doesn’t change when you rename the field, so renaming doesn’t break the integration. If a field is deleted, a stage is removed or a new pipeline is added, the workflow needs an update. It’s worth letting me know about changes like that in advance.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Pipedrive integration

Let’s discuss what is worth connecting to Pipedrive

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
