How it works

Gmail at the centre of your systems

Gmail is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

Use cases

What you can automate with Gmail

  1. 01

    Automatic replies

Gmail replies automatically to recurring enquiries using set templates.

  2. 02

    Gmail → CRM

New emails automatically create records in your CRM.

  3. 03

    Invoice sending

Invoices are sent automatically through Gmail at the set time.

  4. 04

    Email filtering

Important emails are automatically moved, labeled and assigned.

In practice

Example: a new enquiry in Gmail lands in the CRM

A small furniture maker gets every enquiry in a shared info@ inbox in Gmail. A sales assistant reads them each day and retypes them into the CRM, and some get lost between invoices and promotional email.

  1. 1

A Gmail filter adds the label “Enquiry” to new messages from the website form and from unknown senders. The workflow watches only that label and leaves all other email alone.

  2. 2

I connect Gmail through the official Gmail API with OAuth access (the Gmail module in Make or n8n) and grant only the permissions it needs: read messages and change labels.

  3. 3

AI reads the email and pulls out the name, company, phone number, what the customer wants and by when. If a field isn’t in the email, it stays empty instead of being guessed.

  4. 4

The workflow checks whether the contact already exists in the CRM. If it does, the record is updated; if not, a new one is created with a link to the original email.

  5. 5

Emails that went through get the label “Moved”; emails the AI wasn’t sure about get “Check”. The sales assistant reviews only those.

Result: Enquiries show up in the CRM without retyping, and the emails stay in Gmail where they were. People only spend time on the unclear cases.

What you need

What we need to get started

  • A working Gmail account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the Gmail integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Does a regular Gmail account work, or do I need Google Workspace?

The Gmail API works with both personal Gmail and Google Workspace accounts. A Workspace admin can restrict third-party app access, so sometimes their approval is needed. Daily sending limits differ by account type, so I don’t use Gmail for mass newsletters; a newsletter tool is the right fit for that.

Will the workflow see all of my email?

You grant access yourself through Google’s sign-in screen and can revoke it at any time in your Google account’s security settings. I limit the workflow with a label or search filter so it only processes the emails it should. AI only receives the text of the email it needs to read.

Can AI read Lithuanian emails with typos or missing diacritics?

Yes. Current language models understand Lithuanian well, even when it’s written without diacritics or with mistakes. I still check extracted data such as phone numbers and amounts with rules, and flag doubtful cases for review.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Gmail integration

Let’s discuss what is worth connecting to Gmail

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
