Where the manual work goes

On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.

In practice

Example: scheduled maintenance reminders

An independent auto repair shop serves a few hundred regular customers. After an oil change, the mechanic says “see you in a year,” but a year later the customer is often driving to a different shop.

  1. 1

After every job, the date, mileage and work done are saved in the shop software or Google Sheets. If the software can export, I take the data from there.

  2. 2

Once a week, a Make scenario works out who is due for service next: by date, or by average mileage for customers who drive a lot.

  3. 3

The customer gets a text through an SMS service such as Twilio, or an email, with their car model, license plate and a link to book through Calendly or your booking page.

  4. 4

Customers who book appear in the shop calendar, and the day before, the mechanic can see which parts might be needed.

  5. 5

Once a month, the service advisor gets a list of customers who didn’t respond and decides who is worth a call.

Result: Customers come back to the same shop because they were reminded on time, and nobody has to dig through old work orders. Shops with reminders see 35–50% fewer no-shows.

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Can mileage or fault codes be read straight from the car?

Usually not. That would take access to manufacturer systems or special equipment that most small shops don’t have. We rely on what the mechanic records when the car is checked in, which is enough for reminders.

Can AI give a customer a repair price in advance?

Nobody can quote an exact price without an inspection. AI can draft a reply with your approved prices for standard jobs, like an oil change, and invite the customer in. For more complex repairs, the mechanic always sets the price.

Does a maintenance reminder text count as advertising?

A reminder about servicing the customer’s own car is usually service information, but once you add promotions, it becomes marketing. So we keep reminders and promotions separate and send promotions only to customers who opted in.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
