Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Creating and sending invoices by hand every month
DoneAutomatic invoice sending
The system generates and sends invoices on the agreed date.
- Manual work
Writing a separate payment reminder for each client
DonePayment reminders
Reminds clients about upcoming or overdue payments on time.
- Manual work
Moving data between Excel, the bank and the accounting software
DoneReport generation
Monthly reports are created and sent automatically.
- Manual work
Preparing monthly reports for clients
DoneData sync
Data moves automatically between the bank, Excel and the accounting system.
In practice
Example: how payment reminders work at an accounting firm
A small bookkeeping firm serves a few dozen clients and invoices each of them monthly. Some clients pay late, and so far the owner writes the reminders herself whenever she finds the time.
- 1
Every morning a Make scenario pulls the list of unpaid invoices – from the accounting software through its API, or from a Google Sheets file the list is exported to – along with the latest bank statement.
- 2
Payments are matched to invoices by the invoice number in the payment reference and by amount. Anything that doesn’t match cleanly (one transfer covering several invoices, a partial payment) is flagged for review instead of guessed.
- 3
For each late client, AI drafts a reminder: the first one polite, with a copy of the invoice; later ones more direct, with a summary of everything outstanding. The tone depends on how late the payment is and whether a reminder has already gone out.
- 4
For the first few weeks the drafts sit in a Gmail folder and the bookkeeper reviews them before sending. Once the wording settles, routine reminders go out on their own, while unusual cases (a disputed amount, a new contract) always stay with a person.
- 5
If a client replies “already paid” or asks for more time, AI recognizes it, pauses further reminders for that client and passes the email to the bookkeeper.
Result: Reminders go out on time and consistently, nobody checks lists by hand, and the bookkeeper only sees the cases that actually need her judgment.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Can you connect to Rivile or our other accounting software?
It depends on the version and license. Some accounting programs used in Lithuania, including Rivile (a widely used Lithuanian accounting system), offer an API or data import, but not every edition has it enabled. Before we start, I check what your specific setup allows. If there’s no API, we work through export and import files (Excel, CSV or XML) – slightly less convenient, but reliable.
Will the AI file i.SAF or other returns with the VMI for us?
No. i.SAF (the monthly VAT invoice register) and other returns to the VMI (the Lithuanian tax authority) are still prepared and filed in your accounting software, and the accountant stays responsible for them. Automation can help get the data ready earlier – for example, by chasing clients for missing invoices – but it never presses the submit button.
How is our clients’ financial information protected?
The workflows run in your own accounts (Google Workspace, Make or n8n), not on my server, so the data stays under your control. Where an AI model processes text, it goes through business API terms and only what the task needs is sent – an amount and an invoice number, not a client’s whole ledger. If I process personal data on your behalf, we sign a data processing agreement.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
