In recent years "automation" has become an almost everyday word in business. But now you hear a new term more and more often: "AI agent". Many business owners ask: is it the same thing under a different name? Or is it a fundamentally new technology?

The short answer: AI agents and workflow automation are similar, but very different in what they can do on their own. And that difference decides which solution is worth choosing for your business.

What is an AI agent?

An AI agent is a software system that can analyze a situation, make decisions and take actions on its own to reach a specific goal. Unlike traditional automation, an agent does not need every step to be defined in advance.

A simple example: traditional automation works like a recipe, "if an email with the word 'invoice' arrives, forward it to the finance department". An AI agent works like an experienced employee: it understands what is in the email, decides what to do with it, and takes the necessary actions.

Modern AI agents usually use large language models (for example, GPT-4, Claude) as their "brain", and the infrastructure built around them lets the agent use tools: browse the web, write emails, update the CRM, generate documents.

How an AI agent works
  1. 1A client email arrivesEmail
  2. 2The agent understands what is being askedClaude · GPT
  3. 3Decides what to doNot by a rule written in advance.
  4. 4Takes the actionCRM · email · documents
  5. 5Hands an unusual case to a person with a summary

If you have not yet worked with a chat tool, the starting point for agents, try one of them first. How to choose is explained separately (ChatGPT, Claude, Gemini or Copilot).

How does an AI agent differ from workflow automation?

Workflow automation (Make, n8n, Zapier) works well when a process is structured and predictable. A form is received → a CRM contact is created → an email is sent. Every step is clear, and the branching logic consists of simple rules.

Workflow automation: every step is known in advance
  1. 1A form is receivedWebsite
  2. 2A CRM contact is createdMake · n8n · Zapier
  3. 3An email is sentAlways the same path, with no interpretation.

Compare this with the agent diagram above: there is no decision step here, so the workflow is cheaper and predictable.

An AI agent is needed when a process requires interpretation or a decision without clear rules. For example: a client wrote an email in Lithuanian, or half in Lithuanian with English terms, asking about something unusual. Automation will not help in that case, but an agent will.

The practical difference: automation replaces manual work that follows rules. An AI agent replaces manual work that needs human judgment.

Practical examples of AI agents for business

A customer service agent: reads client emails, understands what they are about, drafts a reply and, if the situation is standard, sends it without human involvement. It hands complex cases to a person with a short summary. The result: response times drop from hours to minutes.

A sales agent: watches for new potential clients from different channels, writes personalized first emails, sends reminders about pending actions and updates the CRM. Sales managers get only the leads that have already been "warmed up" by a first contact.

A content agent: writes SEO-optimized texts, social media posts or product descriptions based on your service description and target audience. An editor reviews and approves them, without starting from a blank page.

A data analysis agent: every week it collects data from different sources, interprets the changes and gives the manager not just numbers but explanations: "Conversions dropped this week because of Tuesday's server outage."

When should you choose an AI agent, and when automation?

Choose workflow automation (Make, n8n, Zapier) if: the process is repetitive and structured, all the steps are known in advance, the data is structured (forms, numbers, dates), and the budget is limited and you need a quick payback.

Choose an AI agent if: the process requires interpreting text or making decisions, client requests are varied and unpredictable, you want to automate work that experienced employees do today, and you want scale, so that one agent can handle hundreds of cases a day.

Often the best strategy is to combine both: workflow automation handles structured processes cheaply and reliably, and an AI agent works where intelligence is needed.

How much do AI agents for business cost?

The cost of building an AI agent depends on its complexity. A simple agent (for example, classifying and answering emails) costs from €800–1,500 to set up, plus €50–150/month for infrastructure and AI API costs.

A more complex, multi-purpose agent integrated with several of your systems costs €2,000–5,000 to set up. Monthly maintenance and improvement: €150–400/month.

It is important to understand: an AI agent usually pays for itself if it replaces at least 5–10 hours of manual work a week. I will analyze your situation and give you an honest assessment of whether the time is right for an agent.

How to start using AI agents in your business

The first step is to identify a process that needs human judgment today but repeats often. Client emails, invoice processing and content creation are the most common places.

The second step is to understand what data and systems the agent needs to work. Does it need access to the CRM? To email? To your document base?

I recommend starting with one specific process, measuring the results and only then expanding. This lowers the risk and shows the real benefit quickly. If you want a second opinion, describe the process to me in a message. I will reply by email on whether an AI agent would bring a tangible benefit there, and we will arrange a call if one is needed.

Let's discuss your situation

Want to put AI to work in your business?

Tell me which task you want to make easier. We will look at whether the AI tools you already have are enough or whether a separate solution makes sense.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
