Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Scheduling jobs and coordinating staff by hand
DoneJob scheduling
Assigns staff automatically and sends confirmations to clients.
- Manual work
Sending client reminders before a cleaning by hand
DoneClient reminders
An automatic reminder the day before the cleaning.
- Manual work
Invoices go out late after the service
DoneInvoice sending
The invoice is sent automatically right after the service.
- Manual work
Reviews are not requested after the service
DoneReview requests
An automatic request after every visit.
In practice
Example: how a new cleaning job gets assigned
A cleaning company’s staff travel between apartments and offices. Jobs come in through a website form and by phone, and a coordinator builds the schedule and messages each cleaner separately.
- 1
The client fills in a form: address, floor area, type of cleaning (regular, deep clean, post-renovation), preferred date. Phone bookings are entered into the same form by the coordinator.
- 2
AI reads the free-text part of the request: picks out the cleaning type and notes (“we have a cat”, “windows too”), suggests a duration based on your rules and flags anything missing.
- 3
Based on the cleaners’ Google Calendar availability and area, an available cleaner and time slot are suggested. The coordinator confirms the choice with one click.
- 4
Once confirmed, the client receives a confirmation with the date and time, and the cleaner gets the job with the address and notes in their calendar.
- 5
The day before, the client gets a reminder; after the job, an invoice and a request to rate the service.
Result: The coordinator no longer builds the schedule from scratch or messages everyone individually – she checks and approves. Reminders and invoices go out on their own, without delays.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Will the system plan optimal routes on its own?
Simple logic – by area and free time – is easy to set up and helps a lot. Real route optimization, with many cleaners and many jobs a day, needs dedicated scheduling software; if you’ve reached that point, it’s better to adopt one and connect to it than to try replacing it with a spreadsheet.
Our cleaners don’t use computers. How do they get their jobs?
On their phones – through the Google Calendar app, email or SMS. Automated WhatsApp messages require the WhatsApp Business Platform (the API); the regular app won’t do. A cleaner can mark a job done by tapping a link, which then sends the client the invoice.
Does it work for regular clients with recurring cleanings?
Yes. Weekly or biweekly cleanings are scheduled ahead, and each time the automation checks whether the assigned cleaner has vacation or a day off marked that day. If they’re unavailable, the coordinator is asked to find a replacement – the automation doesn’t reassign staff or tell the client on its own.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
