Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Updating customers on shipment status by hand
DoneAutomatic status updates
Customers automatically get updates as their shipment moves.
- Manual work
Filling in CMR (international consignment note) and other documents by hand
DoneDocument processing
AI pulls the data from CMRs and other documents and enters it into your system.
- Manual work
Driver reports are collected and processed manually
DoneDriver reports
Reports are collected automatically and combined into one overview.
- Manual work
Invoices go out late while waiting for paperwork
DoneInvoice sending
The invoice is created and sent automatically as soon as the shipment is delivered.
In practice
Example: getting CMR data into your system without retyping
A small freight forwarding and trucking company receives photos of signed CMRs (the international road consignment note) from drivers and subcontracted carriers every day. A coordinator retypes them into a spreadsheet, and only then can the client be invoiced.
- 1
After unloading, the driver photographs the signed CMR and sends it to a dedicated email address. A Make scenario picks up every message with an attachment.
- 2
AI reads the document: shipper, consignee, loading and unloading places, dates, the cargo description, whether the consignee’s signature and stamp are there, and whether any remarks about the cargo’s condition were written in.
- 3
The data is checked against the order in Google Sheets or the transport management system using the order number. If something doesn’t match – a different date, a missing signature, damage remarks – the document is flagged and shown to the coordinator.
- 4
When everything matches, the order is marked delivered and a draft invoice is prepared in the invoicing software or spreadsheet, with the CMR copy attached.
- 5
The coordinator reviews the drafts and approves sending. Handling of paper originals doesn’t change – a client or insurer may still ask for them.
Result: Nobody retypes documents anymore – the coordinator only checks the ones where something doesn’t add up, and invoices go out soon after delivery instead of at the end of the week.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Can AI read handwritten or poor-quality CMRs?
Usually, but not always. Printed text is recognized well; handwriting and crumpled paper less so, which is why each field has a check: if the data doesn’t match the order or the reading is uncertain, the document goes to a person. The thing that helps most is a simple rule for drivers – photograph the whole sheet, straight from above, in good light.
Can you connect our TMS or GPS tracking system?
If the system has an API or can send data out (a webhook or an export), yes – then shipment statuses and delivery confirmations come straight from it. Some systems only enable that access for an extra fee, so it’s worth checking with your vendor. Without an API, we work with the system’s email notifications or exported files.
Can drivers send documents over WhatsApp?
Yes, but that requires the WhatsApp Business Platform (the API), not the regular app on a phone – automation can’t read messages that arrive in the app. Some messages on the platform are charged at Meta’s rates. The simplest start is usually a dedicated email address for documents, with WhatsApp added later.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
