Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Handling and replying to new enquiries takes too long
DoneEnquiry replies
An automatic reply to the first enquiry with a short questionnaire.
- Manual work
Sending and following up on quotes is disorganized
DoneQuote follow-up
An automatic reminder to the client if the quote has not been approved within a few days.
- Manual work
Keeping clients updated on progress is done by hand
DoneProgress updates
Automatic messages to the client about each stage of the work.
- Manual work
Reviews are not requested after a job is finished
DoneReview requests
An automatic request once the job is finished.
In practice
Example: making sure sent estimates don’t go cold
A renovation company sends out a fair number of estimates to apartment and house owners each month. Some clients go quiet, and the owner, busy on job sites, never gets around to calling them back.
- 1
Each estimate sent is logged in Pipedrive or Google Sheets: client, project, amount, date sent. If estimates go out from Gmail as PDF attachments, the record can be created from the sent email itself.
- 2
If the client hasn’t replied within the agreed time, AI drafts a short follow-up: a reminder of what the estimate covers and an offer to talk if anything is unclear or a different option is needed.
- 3
The draft goes to the owner for approval – on the phone it can be edited or skipped if he has already spoken with the client.
- 4
AI sorts the client’s reply: accepts, wants changes, declines (with the reason, if given) or has more questions. The Pipedrive stage is updated, and the owner is only notified where he’s actually needed.
- 5
Reasons for declining are collected in a sheet – after a few months you can see whether price, timing or something else gets in the way most often.
Result: No estimate is left without a follow-up, and the owner gets back to clients while they’re still choosing a contractor – without having to keep track in his head.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Can AI put together an estimate from the client’s photos?
Not reliably. From photos and a description, AI can list what it sees (the type of flooring, a rough tiled area) and prepare questions, but quantities and prices have to be confirmed by a person, often only after a site visit. Where AI really helps is in tidying up the first inquiry, so the site visit doesn’t start with the same questions all over again.
Can we keep using our estimating software?
If it exports estimates to PDF or Excel and you send them by email, yes: the automation works with the sent email and its attachment, without touching the software. If the software has an API, the total and line items can be pulled directly. If it can only print, someone would have to enter the estimate details into the sheet.
Can we send clients progress photos from the site?
Yes: a crew member uploads photos to a shared Google Drive folder, and AI drafts a short progress note for the client. The site manager reviews each update before it goes out, because photos can show other people, a neighbor’s property or unfinished spots the client doesn’t need to see yet.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
