According to a study published by Harvard Business Review (2011), companies that tried to contact a potential customer within the first hour after an enquiry were nearly 7 times more likely to qualify them than those that waited longer than an hour. The reality for small Lithuanian businesses is that the same enquiry often waits several hours for a reply, or even until the next day.

The reason is clear: people are busy, enquiries arrive from different channels, and often nobody knows exactly who should reply first. Lead automation solves all of these problems at once.

What is lead automation?

Lead automation is a chain of processes that runs from the moment a potential customer leaves their contact details (fills in a form, sends an email, starts a chat) to the moment they become a paying customer.

It includes: automatically collecting enquiries from all channels in one place, an instant confirmation message to the customer, automatic hand-off to the right account manager, qualifying leads by your criteria, and a follow-up sequence if the potential customer does not respond.

How an enquiry travels without manual work
  1. 1The customer fills in a form or sends an emailWebsite · Gmail · Messenger
  2. 2The enquiry is recorded in one placeCRM or Google Sheets
  3. 3The customer gets a confirmation right awayEmail
  4. 4The responsible account manager gets a notificationSlack · email
  5. 5If the customer does not reply – a reminder after a few daysThe follow-up sequence stops when the customer replies.

A typical lead automation chain for a small business. The tools can differ; what matters is that no enquiry gets lost between channels.

Most importantly, all of this happens without manual work on your side. The system runs 24/7, including weekends and public holidays.

Where do enquiries come from?

A modern small business gets enquiries from many channels: the website contact form, email, WhatsApp, Facebook Messenger, Instagram DMs, phone calls (transcribed), and ad campaigns (Meta Lead Ads, Google Ads forms).

The problem is that each channel is separate. The account manager has to check five different places, and an enquiry from Facebook can get lost if nobody logs in to Messenger for a few hours.

Automation brings all channels together: no matter where an enquiry came from, it lands automatically in a central system (a CRM or a spreadsheet), and the responsible person gets a notification in Slack or by email within seconds.

How does automatic lead qualification work?

Not all enquiries are equally valuable. Some are ready to buy now; others are just researching the market. Qualifying them by hand takes time and experience.

Automatic qualification works by the criteria you set: if a potential customer gave a budget above a certain amount, they are assigned straight away to the senior account manager and marked as a priority. If the question was general, automatic information is sent first to "warm up" the lead.

You can also use AI for this: the system reads the text of the enquiry and decides from its content whether it is a serious potential customer or a general question. That way account managers spend their time on the people who actually buy.

How to automate follow-up so you stop losing leads

Many deals happen only after several repeat contacts. Yet many business owners give up on potential customers after the first or second attempt if they do not respond. Automatic follow-up changes this completely.

A typical automatic follow-up sequence: right after the enquiry, a confirmation email with information; after 2 hours, a personal email from the account manager (generated automatically from a template with the customer's name); after 1 day, a short question asking if they have any further questions; after 3 days, useful information (examples, case studies); after a week, a final contact with a specific offer.

A follow-up sequence that runs until the customer replies
  1. 1Right away – confirmation with informationEmail
  2. 2After 2 hours – a personal email from the account managerFrom a template, with the customer's name.
  3. 3After 1 day – any questions left?
  4. 4After 3 days – examples and case studies
  5. 5After a week – a specific offerWhen the customer replies, the sequence stops.

At every step, if the customer replies, the automation stops and the account manager takes over. If not, the sequence continues. Nothing is lost.

A real scenario: from a form to a meeting

A potential customer fills in the form on your website at 10:15 p.m. This is where automation starts: within 30 seconds the customer gets a confirmation email with contact details and the nearest available consultation times. The form automatically creates a contact in the CRM, and it is assigned to the responsible account manager.

At 8:00 a.m. the account manager gets a Slack notification: "New enquiry from Jonas Jonaitis – asking about an automation consultation. Priority: medium. Assigned to you." The account manager sees all the information and calls them first.

If the account manager cannot reach them by lunchtime, a follow-up email with a calendar link is sent automatically so the customer can pick a time themselves. Jonas picks a time, and the meeting is added to both calendars automatically. Not a single step was manual, except the conversation itself.

How to set up lead automation

First you need to define the process: where your enquiries come from today, who replies and how quickly, and what the qualification criteria are. Only then is the automation built, not the other way around.

For the technical side I use n8n or Make together with your CRM (HubSpot, Pipedrive or another). Setup usually takes 3–7 days. The result is a system that runs without supervision and that you can monitor in real time.

If you do not know where to start yet, write to me about how you track enquiries and offers today. I will read it and reply by email with where in your sales process you are most likely losing customers; if needed, we will arrange a call.

Let's discuss your situation

Want to put AI to work in your business?

Tell me which task you want to make easier. We will look at whether the AI tools you already have are enough or whether a separate solution makes sense.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
