In short: you can automate Google review collection, and it is worth doing. After every paid order, visit or finished job, the system sends an SMS, email or WhatsApp message with a direct Google review link. The most important rule: every customer gets the request, with no reward and no "are you satisfied?" filter first, because Google forbids that.

I checked Google's policies, Lithuanian legislation and tool prices on October 17, 2026. I am not affiliated with any of the tool vendors mentioned. The legal information is general; for a specific case, talk to a lawyer.

How to collect Google reviews automatically: the short answer

Most customers do not leave reviews not because they don't want to, but because nobody asked them at the right moment and in a simple way. Automation solves exactly this part: the request no longer depends on whether the receptionist remembered or the technician was rushing to the next job.

What do Google review policies allow and forbid?

Google itself encourages you to ask for reviews: the Business Profile help page "Tips to get more reviews" recommends reminding customers, using a link or QR code and replying to all reviews. The limits are set out in the Google Maps user-contributed content policy (the section on ratings manipulation). A business must not:

  • Offer incentives (payment, discounts, free goods or services) in exchange for a review, for changing one or for removing a negative review.
  • Discourage negative reviews or selectively ask for positive ones. This is what "review gating" is: the link is shown only to those who gave 4–5 stars in an internal survey.
  • Demand or pressure customers to write a review on the spot, at the business premises.
  • Tell employees to collect a set number of reviews or ask for reviews with specific content (for example, "mention the keyword").

Some Lithuanian advice gets this wrong. You will find recommendations to "first ask in person whether the customer is satisfied, and only then send the link", which is exactly selective soliciting. You will also find the tip that a small discount for "any" review is allowed. Even if consumer law might view this differently in some cases, Google's policies forbid any incentives, so do not use discounts for Google reviews.

Lithuanian law. Since May 28, 2022, amendments to the Law on the Prohibition of Unfair Business-to-Consumer Commercial Practices (in Lithuanian) that transpose the EU Omnibus Directive have been in force: buying or commissioning fake reviews and distorting consumer reviews is prohibited, and a website that shows reviews must explain whether and how it checks that they were written by real buyers. Enforcement is handled by the State Consumer Rights Protection Authority.

The practical takeaway: an automated request is exactly what you need to stay within the rules, because it goes to everyone in the same way and does not depend on an employee's hunch about which customer "seems happy".

  1. Sign in to the Google account that manages your Business Profile and search for your business name on Google; the profile management panel opens.
  2. Click "Read reviews", then "Get more reviews".
  3. Copy the short link (in the g.page/r/…/review format) or save the QR code. For now, Google only lets you generate the QR code in a desktop browser.
  4. Test the link on a phone signed in to a different Google account: the review window with stars should open straight away.
  5. If you have several locations, create a separate link for each and, in the automated workflow, use the link of the location the customer visited.

Based on the Google Business Profile help center (checked October 23, 2026). Google says the QR code can currently be generated only in a desktop browser, not on a phone.

Keep in mind: only a signed-in Google account user can leave a review. An account can also be created with a non-Gmail email address, which is worth mentioning in the request text if your customers are older.

What does an automated review request workflow look like?

A typical workflow I set up with n8n or Make looks like this:

  1. Event. The booking system, CRM, POS or Shopify reports that a visit took place, a job was accepted or a parcel was delivered.
  2. Check. The workflow checks that the customer has not opted out of messages, has not already received a request in the last 90 days, and that the order was not cancelled or returned. These are technical conditions, not mood-based ones, and they apply to everyone equally.
  3. Wait. Depending on the business type, it waits from an hour to a few days and sends only during business hours.
  4. Message. A personalized text with the name, the service or product and a direct link to the right location.
  5. One reminder. If there is no review within 3–5 days, one gentle reminder, and that is it.
  6. Review monitoring. New reviews arrive in Slack, Teams or email; a negative review notifies the manager immediately, and AI prepares a draft reply.
  7. Report. Once a month: how many requests were sent, how many reviews came in, the average rating and the most common topics.

Example (illustrative, not a specific client): "Hi Ieva! Thank you for visiting our salon in Žirmūnai today. If you have a minute, we would appreciate an honest review on Google: [link]. Don't want messages like this? Reply STOP." The text does not ask for "5 stars", offers no gifts and includes a way to opt out.

Can you also keep an internal feedback form? Yes, as long as it adds to the Google link rather than replacing it: every customer sees both options in the same message, and nobody is routed based on their answer.

SMS, email or WhatsApp: which channel is best for review requests?

I explained how automated SMS and WhatsApp messages work technically in the articles automated notifications for customers and WhatsApp Business automation.

In Lithuania, most likely yes. Article 2(1) of the Law on Legal Protection of Personal Data defines direct marketing as activity aimed at offering goods or services and/or asking people for their opinion about them. A review request is exactly asking for an opinion, so it is safer to treat it under the marketing rules.

  • For existing customers you can rely on the exception in Article 81(2) of the Law on Electronic Communications: the contact was obtained when you sold them a product or service, the customer was given the option to opt out when it was collected, and every message includes a clear, free way to opt out. The State Data Protection Inspectorate (VDAI, the Lithuanian data protection authority) says this exception applies to email and SMS.
  • For business customers (legal entities), since April 22, 2026, under the amended Article 81(1) of the Law on Electronic Communications, prior consent is not required, but every message must include a clear, free way to opt out (VDAI guidance, May 19, 2026, in Lithuanian).
  • Do not send requests to private individuals who are not your customers without prior consent.
  • People who opted out must be skipped automatically by the workflow; that is the check in step 2.
  • In your privacy policy, mention that you may ask for a review after a purchase.

For clinics and others who handle sensitive data: in a public reply to a review, never confirm that the person was your patient and never mention any treatment details.

How to reply to Google reviews with AI

Replies to reviews show future customers that the business is active and responsive. But replying to every review on time is hard, which is where AI saves the most time. There are three levels:

  1. A draft in your email or Slack. When a new review comes in, AI drafts a reply in your tone, mentioning what the customer highlighted. You copy and publish it.
  2. One-click approval. The draft arrives with a "Publish" button; the reply is posted automatically through the Google Business Profile API. Google grants API access after you apply for it.
  3. Automatic publishing for positive reviews only. 5-star reviews with no text or a short text get an automatic reply, while 1–3 stars always go to a person.

  3. 35★ with no text or a short one: can be published automatically
  4. 41–3★: always to a personSlack / Teams / emailThe manager reviews and publishes

In 2025–2026 Google has been testing its own "Reply to reviews with AI" feature, but according to Search Engine Land and other sources it is available to a limited number of profiles and not in every country. For negative reviews I always recommend a human check: AI may apologize too much, promise something you cannot deliver, or reveal customer data. How such AI assistants are built is described on the AI agent development page.

Prices come from the vendors' websites (NiceJob, GatherUp) and third-party directories (Trustindex), excluding VAT. With foreign tools, SMS delivery to Lithuanian numbers and Lithuanian-language templates vary, so test them during a trial period before buying.

When to choose a ready-made tool and when a custom workflow? A ready-made tool works if you can easily move customer contacts into it (there is an integration with your CRM or POS). A custom workflow pays off when the data sits in a Lithuanian booking, POS or accounting system that foreign tools do not support, or when you want review requests, appointment reminders and negative review alerts to run in one workflow. I set up such a workflow from €450 in 1–2 weeks. Write to me which booking or POS system you use, and I will reply by email on whether the free Google link is already enough for you. Prices are on the pricing page; solutions for beauty salons are in automation for beauty salons.

Frequently asked questions

Can I ask for Google reviews automatically?

Yes. Google allows you to ask for reviews and even provides a link and QR code for it. What is forbidden: offering a reward, asking only satisfied customers, discouraging negative reviews and pressuring a customer to write a review on the spot. An automatic SMS or email to every customer after a purchase or visit does not break these rules.

What is review gating and why is it forbidden?

It is a setup where the customer is first asked "are you satisfied?" and the Google link is shown only to those who answered yes. The Google Maps content policy directly prohibits "selectively soliciting positive reviews", and the Lithuanian law on unfair commercial practices toward consumers prohibits distorting consumer reviews.

Can I give a discount in exchange for a review?

Not for Google. The Maps content policy states clearly that a business cannot offer payment, discounts, free goods or services in exchange for a review, for changing one or for removing a negative review. This also applies to a reward for "any" review, not only a positive one.

How long after a purchase should I send the request?

When the customer can already judge the result: for a cafe or beauty salon, 1–3 hours later; for a home service, the same day after the work is accepted; for an online store, 1–3 days after delivery. One reminder after 3–5 days is acceptable; more than that becomes annoying.

Can AI reply to Google reviews on its own?

Technically yes, through the Google Business Profile API or tools such as NiceJob and GatherUp. I recommend using AI for drafts: a reply to a positive review can be published after a quick approval, but a person should always review negative ones, because your reputation and sometimes legal issues depend on them.

Do I need the customer's consent to ask for a review?

The Lithuanian Law on Legal Protection of Personal Data counts "asking for opinions" about goods or services as direct marketing. So the safest approach is to send requests to existing customers under the exception in Article 81(2) of the Law on Electronic Communications: the customer was given the option to opt out when the contact was collected, and every message includes a simple way to opt out.

How much does automated review collection cost?

The Google link and QR code are free. Ready-made tools cost roughly $60 to $125 per month per location. A custom workflow connected to your CRM, booking system or Shopify costs from €450 one-off, plus the cost of SMS or WhatsApp messages.

Want to put AI to work in your business?

Tell me which task you want to make easier. We will look at whether the AI tools you already have are enough or whether a separate solution makes sense.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
