Google Calendar automation and integration

Automate appointment booking, reminders and calendar management with Google Calendar.

How it works

Google Calendar at the centre of your systems

Google Calendar is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

Use cases

What you can automate with Google Calendar

  1. 01

    Automatic booking

Enquiries turn into Google Calendar events with all the details, automatically.

  2. 02

    Reminders

Automatic email or SMS reminders before the event.

  3. 03

    CRM sync

Google Calendar events update CRM records automatically.

  4. 04

    Team coordination

Team members are notified automatically about new or changed appointments.

In practice

Example: an enquiry becomes a Google Calendar appointment and the team gets notified

An air conditioning installer has three technicians, each with their jobs in a separate Google calendar. The manager takes enquiries by phone and email, hunts for free time herself and copies the address into the event.

  1. 1

The customer fills in a website form with their address and preferred days. The form passes the data to the workflow right away.

  2. 2

Through the Google Calendar API, the workflow queries the technicians’ free/busy times on the preferred days and finds open slots, leaving time for travel.

  3. 3

The manager gets a suggestion with two open times and picks one with a single click. That way a person makes the final call, not the workflow.

  4. 4

An event is created in the technician’s calendar with the address, phone number and job description, in the Vilnius time zone. The technician is notified, and the customer gets a confirmation email.

  5. 5

The day before the visit, the customer gets an email reminder. If the event is moved in the calendar, the workflow tells the customer the new time too.

Result: The manager no longer copies addresses or searches three calendars for free time, and the customer gets a confirmation and a reminder without extra phone calls.

What you need

What we need to get started

  • A working Google Calendar account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the Google Calendar integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Will customers get Google Calendar reminders?

Google Calendar reminders only work for the calendar owner and for guests who have the event in their own calendar. I send customer reminders separately by email or text, so customers don’t need a Google account. Your team gets reminders as usual through Google Calendar.

What access do you need to the calendars?

The workflow needs permission to see free/busy times and create events in the calendars it works with. Usually I share those calendars with a separate workflow account with “Make changes to events” rights, while staff members’ personal calendars stay out of reach. You can revoke access in the calendar’s sharing settings.

What if someone moves or deletes an event by hand?

The workflow can watch for calendar changes and react: tell the customer the new time when an event is moved, or mark the job as canceled when it’s deleted. We agree up front which changes should reach the customer and which shouldn’t, so internal reshuffling doesn’t send unnecessary emails.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Google Calendar integration

Let’s discuss what is worth connecting to Google Calendar

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
