How it works

WhatsApp at the centre of your systems

WhatsApp is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

In practice

Example: a WhatsApp appointment reminder the patient can confirm

A dental clinic calls patients or sends texts before appointments, and the receptionist spends part of the day on the phone. Patients still sometimes don’t show up and don’t let anyone know.

  1. 1

Every evening the workflow reads tomorrow’s appointments from the booking system or calendar and picks the patients who agreed to receive WhatsApp messages.

  2. 2

Messages are sent through the WhatsApp Business Platform (Cloud API) from the clinic’s number. The regular WhatsApp Business app can’t send these, so I connect the number to Meta’s platform.

  3. 3

Since the patient hasn’t messaged in the last 24 hours, the reminder uses a template Meta approved in advance, with the name, date and time and the buttons “I confirm” and “I’d like to reschedule”.

  4. 4

The patient’s reply comes back to the workflow: a confirmation is marked in the system, and a reschedule request creates a task for the receptionist. If the patient asks a free-form question, AI suggests an answer from the clinic’s FAQ.

  5. 5

The receptionist sees one list: who confirmed, who wants to reschedule and who didn’t reply, and calls only the last group.

Result: Reminders go out on their own, and the receptionist calls only the people who actually need a call. Replies show up in the system right away.

What you need

What we need to get started

  • A working WhatsApp account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the WhatsApp integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Can I use my existing WhatsApp Business app?

The app is built for manual chatting and has no official API. Sending messages from your systems requires the WhatsApp Business Platform, which needs a Meta business account and a verified number. Whether you can use the same number you have in the app now, and what limits that would bring, I check for your case before we start.

Why do messages need templates?

If a customer hasn’t messaged you in the last 24 hours, a business can only reach them with a template Meta approved in advance. Templates fall into categories such as utility and marketing, and Meta charges for them by category and country. While the customer is actively chatting, you can reply with free text inside the 24-hour window.

Can I send promotions to all my customers?

Only to people who explicitly agreed to receive WhatsApp messages, and only with an approved marketing template. If people block or report your messages, Meta can lower your number’s sending limits. That’s why I recommend sending promotions sparingly and only to interested customers.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

WhatsApp integration

Let’s discuss what is worth connecting to WhatsApp

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
