In practice

Example: vaccination reminders for pet owners

A small vet clinic has a few thousand patient records. The next vaccination date is entered after every visit, but nobody has time to remind owners, so some pets get their shots late.

  1. 1

Once a week, a list is exported from the clinic software: pet name, species, owner contacts and next vaccination date. If the software has an API, I pull the list directly; if not, uploading a CSV to Google Sheets is enough.

  2. 2

An n8n workflow picks pets whose next shot is a month away and skips those that already have a visit booked in Google Calendar or the clinic calendar.

  3. 3

The owner gets an email or text with the pet’s name and a booking link. We write the wording together with the vet; AI only inserts the name and date and never writes health advice.

  4. 4

If the owner hasn’t booked after two weeks, one follow-up reminder goes out, and that’s it.

  5. 5

The front desk gets a short weekly list of owners who didn’t respond and decides who is worth a call.

Result: The front desk stops digging for dates in records, and owners hear about vaccinations on time. Clinics that use visit reminders see up to 40% fewer no-shows.

What’s included

  1. 01

    Process review

I look at how you work today and we pick the places where automation or AI would save the most time.

  2. 02

    Automated workflows

I build the automation in the systems you already use, and add AI where text needs to be read or written.

  3. 03

    Testing and fine-tuning

I test with real situations and adjust until it works the way we agreed.

  4. 04

    Support after launch

For 30 days after launch I fix bugs for free; after that, support starts at €150/month.

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Can AI tell an owner whether their pet needs a vaccine or medication?

No. Health questions belong to the veterinarian. If an owner replies to a reminder asking about symptoms, the message goes to the front desk or the vet; the setup just helps it get noticed sooner.

What happens if a pet has died and a reminder still goes out?

That’s the most sensitive point, so we sort it out first. The record needs an “inactive” flag, and the workflow skips flagged patients. If your software has no such field, we agree on where the front desk marks it in the sheet.

Our clinic software has no export at all. Can we still do anything?

You can start with new visits: after each visit, the next vaccination date goes into a simple Google Form that drives the reminders. I don’t recommend retyping old records without an export, because the manual work usually costs more than it returns.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
