Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Prescription renewal reminders are sent by hand or not at all
DonePrescription renewal reminders
An automatic reminder to the customer when their prescription is about to expire.
- Manual work
Stock tracking and supplier orders are not automated
DoneStock management
An automatic alert and supplier order when a medicine drops below the minimum.
- Manual work
Telling customers about medicine availability is manual
DoneAvailability notices
An automatic message to the customer when an out-of-stock medicine is back.
- Manual work
Monthly sales reports are prepared by hand
DoneSales reports
A monthly sales summary is generated automatically and sent to the manager.
In practice
Example: telling a customer their product has arrived
Customers often ask a pharmacy for a product that’s out of stock that day. The pharmacist jots a phone number on a scrap of paper, but when the delivery comes in, the call doesn’t always happen.
- 1
The pharmacist enters the product name and the customer’s contact into a simple form on a tablet or in Google Sheets, and ticks that the customer agreed to be notified.
- 2
When the product is delivered, the workflow notices. If your system can export stock levels or has an API, that happens on its own; if not, the staff member receiving the delivery ticks a box.
- 3
The customer gets a text or email: the product is in and will be held until a set date. The message contains no usage information and no promotional claims.
- 4
If the customer doesn’t pick it up in time, the pharmacist gets a list and decides whether to return the item to the shelf.
- 5
At month’s end, the manager gets a summary of the products most often out of stock, to adjust orders.
Result: The paper scraps disappear, and customers no longer have to call and ask. Meanwhile, the pharmacist spends time advising customers instead of hunting for who was promised a call.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
What should always stay with the pharmacist?
Advice on how to take medicines, interactions and whether something suits a specific person. AI doesn’t answer customers’ health questions or recommend products. Automation is limited to reminders, notifications and back-office admin.
Can we send prescription renewal reminders using data from the national e-health system?
I don’t connect to Lithuania’s national e-health system (the state electronic health records platform). Reminders can only go to customers who clearly agreed to receive them, using data you already hold in your own system. Health data is a special category under GDPR, so it’s worth reviewing the setup with your data protection officer.
Can reminders include promotions?
Prescription medicines can’t be advertised to the public, so reminders about them must stay purely informational. Promotions for over-the-counter products can go only to people who opted in to marketing. The responsible pharmacist approves the final wording.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
