Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Tracking policy renewals and sending reminders by hand
DoneRenewal reminders
An automatic reminder to the client 30 and 7 days before the policy ends.
- Manual work
Informing clients about changes by hand
DoneClient updates
An automatic message about changes or new products.
- Manual work
New offers to existing clients are disorganized
DoneOffer sending
Segmented offers based on the policies clients already have.
- Manual work
Filing a claim is complicated for clients
DoneClaim intake
An automated claim form with automatic status updates.
In practice
Example: how an insurance broker stays on top of policy renewals
A small insurance broker looks after several hundred client policies – comprehensive car cover, property, health. End dates are scattered across different insurers’ portals and an Excel file.
- 1
All policies are pulled into one Google Sheets file or CRM: client, insurer, type, insured item, end date. If insurer portals allow policy exports, they’re imported regularly; otherwise new policies are entered in this one place.
- 2
30 days before the end date, the client gets an email reminder: which policy is ending, when, and whether anything important has changed – the car, the address, the drivers.
- 3
AI reads the client’s reply and sums it up for the broker: “sold the car”, “wants to compare prices”, “no changes”. A specific task then appears on the broker’s to-do list.
- 4
The broker prepares quotes from insurers personally – the automation doesn’t pick or recommend an insurer.
- 5
If the policy still isn’t renewed 7 days before it ends, the client gets a second reminder and the broker is prompted to call.
Result: Renewal dates no longer live in someone’s memory or across several spreadsheets: the broker sees each day what needs action, and clients are reminded on time.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Can the automation compare insurers’ quotes and pick the best one?
No. Choosing an insurance product and recommending it to a client is the broker’s responsibility and falls under insurance distribution rules, so I don’t hand it to AI. Automation can help collect information from the client and put the quotes received into one comparison sheet, but the conclusion is the broker’s.
The insurers’ portals have no API. What can we do?
That’s common. We then work with what’s available: policy exports, emails from insurers with policy documents attached (AI can extract the end date and insured item from them), or your own register cleaned up once. I don’t recommend scraping portals by logging in with your password – it’s fragile and may breach the portal’s terms of use.
Can we send existing clients offers for new products?
Yes, but that’s direct marketing: you need the client’s consent or, for existing clients, a clear way to opt out, and the content must meet insurance distribution requirements. Segmenting by current policies works – for example, clients with car cover but no home insurance. The broker approves the message text before it goes out.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
