Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Calling or texting clients by hand before their appointment
DoneAppointment reminders
Automatic messages to clients 24 hours before the appointment.
- Manual work
Clients stop coming back because nobody reminds them
DoneRepeat-visit nudges
An automatic message after 4–6 weeks inviting the client to book again.
- Manual work
Asking for reviews after a visit is disorganized
DoneReview requests
A review request goes out automatically after the visit.
- Manual work
Sending special offers to clients takes a lot of time
DonePromotions
Segmented offers sent to clients based on their visit history.
In practice
Example: how a salon invites clients back
A hair salon has several stylists, and clients and appointments are kept in a booking system. Most clients are happy, but they only come back when they happen to remember.
- 1
Once a day a scenario pulls completed appointments from the booking system (through an API or an export) or from Google Sheets: client, service, stylist, date.
- 2
Each service gets its own interval – one for a haircut, another for coloring or a manicure, usually 4–6 weeks. When it passes with no new booking, the client goes on the invitation list.
- 3
AI writes a short, personal invitation that mentions the last service and the stylist and includes a direct booking link. It goes out by email, or over WhatsApp Business if the client agreed to messages there.
- 4
Clients who opted out or have already booked are left off the list. Every message has a one-tap way to unsubscribe.
- 5
Each week the front desk gets a short summary: how many invitations went out and how many clients booked afterward.
Result: Clients hear from the salon right when they’re due for a visit, and nobody has to comb through client records by hand. Invitations keep going out even during the busiest weeks.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Our booking system already sends reminders. What then?
Then we don’t duplicate pre-appointment reminders – we use what the system already does. Extra automation is worth it where the system doesn’t help: invitations to come back, review requests, offers based on visit history. If the system won’t let you get data out through an API or an export, I’ll tell you right away.
Can we send invitations and offers to all our clients?
Not without care. Invitations and promotions count as direct marketing, so you need the client’s consent or, for existing clients, a clear way to opt out in every message; it’s worth confirming the exact conditions with a lawyer. Technically, consent is stored as a separate field in the client list, and messages only go to clients who have it.
Won’t the messages sound like they came from a robot?
AI writes from examples you provide and in your salon’s tone – short, no stock phrases. Before launch we go through sample messages together and adjust them. The limits are clear: AI doesn’t invent discounts or services that aren’t on your price list.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
