How it works

Calendly at the centre of your systems

Calendly is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

Use cases

What you can automate with Calendly

  1. 01

    Calendly → CRM sync

A new Calendly booking automatically creates a CRM contact and a deal with all the meeting details.

  2. 02

    Automatic reminders

The client gets email and SMS reminders 24 hours and 1 hour before the meeting.

  3. 03

    After-meeting follow-up

30 minutes after the meeting, an automatic email with the points discussed and the next steps.

  4. 04

    Team coordination

A new meeting automatically posts to a Slack channel and creates a task for the person responsible.

In practice

A new Calendly booking creates a CRM deal with all the details

A consulting firm takes meeting requests through a Calendly link on its website. An office manager retypes each booking into the CRM, and the intake answers stay in the calendar entry that nobody opens before the call.

  1. 1

I create a webhook subscription through the Calendly API for the “invitee.created” and “invitee.canceled” events. This requires a paid Calendly plan.

  2. 2

When someone books a slot, a Make scenario finds or creates the contact in your CRM and opens a deal with the meeting date, event type and the booking form answers.

  3. 3

AI reads the free-text answers (“What would you like to discuss?”) and writes a two-sentence summary that your team sees on the CRM record before the call.

  4. 4

The person responsible gets a Slack message with a link to the deal. If the client cancels or reschedules, the deal status updates on its own.

  5. 5

After the meeting, the workflow prepares a draft thank-you email, and your team member reviews and sends it.

Result: Every booked call shows up in the CRM right away with context, so people walk into meetings prepared and cancellations don’t slip by.

What you need

What we need to get started

  • A working Calendly account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the Calendly integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Is the free Calendly plan enough?

Usually not. Webhook subscriptions, which pass bookings to other systems, are only available on paid Calendly plans (Standard and up). Check your current plan before we start; if it needs to change, I’ll tell you up front.

Can Calendly send the reminders itself?

Paid plans include Calendly Workflows for email reminders, and in some cases text messages. If that covers your needs, I use it. I build an outside workflow only when a reminder depends on CRM data or needs to go through another channel, such as WhatsApp.

What if several people on the team have their own Calendly calendars?

A webhook can cover the whole organization or a single user. An organization-wide subscription needs admin rights, and then each booking is routed to the right person in the CRM or Slack based on who owns the event.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Calendly integration

Let’s discuss what is worth connecting to Calendly

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
