In practice

Example: how a gym reminds members their membership is ending

A small gym sells monthly and annual memberships. Some members forget to renew and simply stop coming, and the front desk notices too late.

  1. 1

The member list with membership end dates is pulled from the gym management system through an API or export – or, at a smaller gym, from Google Sheets.

  2. 2

A few days before the end date, the member gets a reminder with a payment link (Stripe or Paysera, a Lithuanian payment provider). Once paid, the payment is marked in the list or in the system if its API allows, and the member gets a confirmation.

  3. 3

If the member doesn’t renew, their attendance is checked. Someone who trained regularly gets a short personal note written by AI; someone who rarely came is offered the option to pause their membership, if the gym allows it.

  4. 4

Members who haven’t visited in a long time are flagged for staff – they deserve a conversation with a person, not another automated message.

  5. 5

Once a week the manager gets a summary: how many memberships are ending, how many were renewed, who is waiting for a call.

Result: No membership runs out unnoticed, and staff talk to the members who actually need it instead of going through the list by hand every month.

What’s included

What the solution includes

  1. 01

    Process review

I look at how you work today and we pick the places where automation or AI would save the most time.

  2. 02

    Automated workflows

I build the automation in the systems you already use, and add AI where text needs to be read or written.

  3. 03

    Testing and fine-tuning

I test with real situations and adjust until it works the way we agreed.

  4. 04

    Support after launch

For 30 days after launch I fix bugs for free; after that, support starts at €150/month.

  5. 05

    Documentation

You get a description of how everything works and what to do if something needs to change.

  6. 06

    Team training

I show your team how to use the automation and keep an eye on it.

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Our gym software has no API. Can this still work?

Often, yes: if the system can export the member list with membership dates, the automation can work from that export. We then agree how it gets updated – a manual export once a week, or automatically if the system emails reports. If there’s no way to get the data out at all, I’ll tell you right away.

Can membership fees be charged automatically every month?

That’s the job of a payment service – Stripe subscriptions or a bank direct debit, for example – not of AI. I can connect it so payment events (a successful or failed charge) show up in your member list, and a member gets a polite note when a payment fails. You sign the contract and pay the fees directly with the payment provider.

Can members book group classes through a chatbot?

Yes, if the class schedule lives in a system with an API, or in Google Sheets or Calendar. The bot shows open spots, books the member and, when a class is full, adds them to the waitlist. But if your gym’s app already handles this well, a second booking channel often just causes confusion.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
