Where the manual work goes

In practice

Example: how a clinic reminds patients about a follow-up visit

A private clinic offers family doctor and several specialist appointments. Doctors often say “come back for a check in a year”, but later nobody reminds the patient.

  1. 1

During the visit, the doctor marks in the booking system or a simple form that a follow-up is recommended and picks the timing – 6 or 12 months. Only the date and the type of specialist are recorded, never a diagnosis.

  2. 2

These flags collect in a separate Google Sheets file or in the clinic’s system. Each day a scenario checks which patients are coming up on their recommended date and whether they’ve already booked on their own.

  3. 3

The patient gets a neutral reminder by email or SMS: the doctor recommended a follow-up visit, and here is where to book. No diagnoses, no test names.

  4. 4

AI reviews the replies: booking questions go to the front desk, and any question about health is flagged as urgent and handed to a person – AI never answers it itself.

  5. 5

If the patient doesn’t book, one more reminder goes out after a while, and then the entry is closed so the patient isn’t pressed further.

Result: A doctor’s recommendation no longer stays just words: the patient gets a reminder at the right time, and the front desk stops keeping separate lists and making calls by hand.

    Automated workflows

I build the automation in the systems you already use, and add AI where text needs to be read or written.

  3. 03

    Testing and fine-tuning

I test with real situations and adjust until it works the way we agreed.

  4. 04

    Support after launch

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Health data is a special category under GDPR. Is this allowed at all?

Yes, with care. I design the setup so as little data as possible passes through the automation: contact details, a date, the type of specialist, no diagnoses. The data stays in the clinic’s accounts, we sign a data processing agreement, and the legal basis and patient notices are agreed with the clinic’s data protection officer. If the rules require data never to leave the clinic’s infrastructure, we choose tools that can run on the clinic’s own server (such as n8n).

Can you connect to ESPBI IS or our medical records system?

I don’t connect to ESPBI IS (Lithuania’s national e-health system) – access to it is tightly regulated and requires an official integration. Working with the clinic’s booking software is possible if it has an API or an export. For reminders, an export of the appointment list is often enough; the content of medical records isn’t needed.

Can AI answer patients’ questions about symptoms?

No, and I wouldn’t recommend it. AI can handle practical questions – opening hours, prices, how to prepare for a test using text you’ve written – but any question about health goes to a person. That boundary is stated plainly in the chat window or email itself.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
