Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Writing every client proposal by hand
DoneProposal automation
A proposal template is filled in automatically from the client questionnaire.
- Manual work
Time tracking and monthly invoicing are not automated
DoneTime tracking
Hours are totaled automatically and the monthly invoice is generated.
- Manual work
Project progress reports are prepared by hand
DoneProject reports
A weekly or monthly report is sent to the client automatically.
- Manual work
Client feedback is not collected after projects
DoneFeedback collection
An automatic questionnaire when the project ends.
In practice
Example: building a proposal from a client questionnaire
A small consulting firm writes a proposal after every first meeting. Most of the text repeats, yet each time it’s pieced together from old documents.
- 1
After the meeting, the consultant or the client fills in a short questionnaire: company size, the problem, the desired outcome, timeline, budget range.
- 2
Based on the service type, a Google Docs template with your methodology, team description and terms is selected. Those sections don’t change, and AI doesn’t rewrite them.
- 3
AI writes the description of the client’s situation and the proposed phases of work, drawing on the questionnaire and your past proposals for similar clients.
- 4
Price and scope come from your rate sheet in Google Sheets, not from AI. The consultant reviews the draft, adjusts it and signs off.
- 5
The proposal is sent from Gmail, and a deal is created in HubSpot or Pipedrive with a reminder to check in a few days later about any questions.
Result: The proposal starts from a nearly finished draft rather than a blank page, so the client receives it while the conversation is still fresh, and the consultant spends time on content instead of formatting.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Won’t the client notice the proposal was written by AI?
If AI wrote it from scratch, they often would. That’s why it only writes the client-situation section, based on your earlier texts, while the backbone is your own methodology and wording. A consultant always edits the final version – and their insight is the most valuable part of any proposal.
Can time tracking be connected to invoicing?
If you already track hours in a tool like Toggl, Clockify or Harvest, at month end they’re summed by client and project, and a draft invoice is prepared in your invoicing software or Google Sheets. A person reviews each invoice before it’s sent – especially where fixed fees or discounts were agreed.
Can we use clients’ confidential documents for AI analysis?
Yes, but only with clear rules: through a business API whose terms don’t allow the data to be used for model training, and only as far as your contract or NDA with the client permits. Sometimes it’s safer to work with anonymized data or only your own notes. We settle this before starting, not after.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
