Airtable automation and integration

Automate how your Airtable database is updated, synced and turned into reports.

How it works

Airtable at the centre of your systems

Airtable is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.

Use cases

What you can automate with Airtable

  1. 01

    Form data → Airtable

Submitted forms automatically create new Airtable records.

  2. 02

    Airtable → email

New Airtable records automatically trigger emails.

  3. 03

    Data sync

Airtable data syncs automatically with your CRM or other systems.

  4. 04

    Reports

Reports are generated automatically from Airtable data.

In practice

A website form request becomes an Airtable record and triggers a reply

An event planning company collects bookings through a website form and keeps them in an Airtable table. Right now each request is copied over from email by hand, and returning clients often end up as two rows.

  1. 1

The website form sends its data to n8n, which uses the Airtable API to create a record in the “Requests” table. It first checks the “Clients” table by email and links the records instead of duplicating them.

  2. 2

AI pulls the date, guest count and event type out of the free-text message and fills in the matching fields. If something is missing, the record is flagged “Needs clarification.”

  3. 3

When a record’s status changes to “Confirmed,” the workflow emails the client a summary and next steps.

  4. 4

Every week, a summary of requests received, confirmed and still waiting for a reply is pulled from Airtable and emailed to the manager.

Result: Requests land in one clean base without duplicates, and the team’s Airtable view shows only the rows that need a human decision.

What you need

What we need to get started

  • A working Airtable account

Giving me access is enough. The account and everything built in it stays in your name.

  • A described process

It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.

  • Time for a few questions

I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.

  • No programming knowledge

I handle all the technical work. You need neither IT knowledge nor code.

Process

How the integration works

  1. 1

    Discussion

You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.

  2. 2

    Plan

Before work starts you get an integration plan and a fixed price in writing.

  3. 3

    Build

I set up the Airtable integrations and test them with real situations.

  4. 4

    Launch

I launch it and train your team. For 30 days after launch I fix bugs for free.

FAQ

Frequently asked questions

More about prices on the pricing page.

Does the Airtable API work on the free plan?

The API is available on every plan, but the free plan caps the number of API calls per month, and those limits change. If your volume is higher, you may need a paid plan. I estimate this from your request volume before we start.

What access do I need to give?

A personal access token limited to one specific base and only the permissions needed, such as reading and writing records. It can’t reach your other bases, and you can revoke it at any time.

Why not just use Airtable’s built-in automations?

For simple cases, like a notification when a status changes, Airtable’s own automations are perfectly fine, and I use them. I go with an outside workflow when several systems need to be connected, text needs AI processing, or your plan’s automation run limit is reached.

How much does an integration cost?

The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.

What if the integration stops working?

For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Airtable integration

Let’s discuss what is worth connecting to Airtable

Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
