Before and after
Where the manual work goes
On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.
- Manual work
Phone calls for bookings every day
Done24/7 online booking
Clients book treatments online at any time and get an automatic confirmation.
- Manual work
Clients forget their appointment and do not show up
DoneAutomatic reminders
Clients get a reminder by WhatsApp or email 24 hours before the treatment.
- Manual work
Reviews are not requested consistently after a treatment
DoneReview requests
After the treatment, an automatic request to rate the service and leave a Google review.
- Manual work
Repeat-visit campaigns are run by hand
DoneRepeat-visit campaigns
Clients who have not visited for 30 days automatically get an offer to come back.
In practice
Example: inviting back clients who haven’t visited in a while
A massage studio has a large client base, but some people disappear after one or two visits. The receptionist knows she should reach out, yet her days are taken up by bookings and phone calls.
- 1
Once a week, a client list with the last visit date and treatment is pulled from the booking system. If the system has no API, a CSV export to Google Sheets is enough.
- 2
The workflow picks clients who haven’t visited in 30 days, agreed to receive offers and don’t already have a next visit booked.
- 3
AI writes a short, personal message tied to their last treatment, for example inviting them back for a back massage or to try a similar treatment. It works from your service list and makes no health claims.
- 4
For the first few weeks, the receptionist reviews every message as a Gmail draft or in the sheet before it goes out by email or WhatsApp Business. Once the wording settles, spot checks can be enough.
- 5
A client who clicks the link books online, and anyone who unsubscribes is removed from the list.
Result: Come-back invitations go out on a schedule, not only when there’s a quiet evening. It saves the receptionist 3–5 hours a week.
What’s included
What the solution includes
- 01
Process review
I look at how you work today and we pick the places where automation or AI would save the most time.
- 02
Automated workflows
I build the automation in the systems you already use, and add AI where text needs to be read or written.
- 03
Testing and fine-tuning
I test with real situations and adjust until it works the way we agreed.
- 04
Support after launch
For 30 days after launch I fix bugs for free; after that, support starts at €150/month.
- 05
Documentation
You get a description of how everything works and what to do if something needs to change.
- 06
Team training
I show your team how to use the automation and keep an eye on it.
Process
How the setup works
- 1
Your message and my reply
You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.
- 2
Build and test
I build the automation in your accounts, test it with real situations and fine-tune the details.
- 3
Launch and support
I launch it and train your team. The first working solution takes 1–2 weeks.
Can we send offers to everyone who has ever visited?
No. Marketing messages can go only to people who agreed to receive them. Emailing existing clients about similar services is sometimes allowed without separate consent if every email has an unsubscribe option, but that needs to be checked for your case.
Our booking system already sends reminders. Do we need anything else?
Maybe not. If your system already sends pre-visit reminders, I leave them as they are. Extra automation helps where the system stops: come-back invitations, review requests and gift voucher tracking.
Can AI advise a client on which treatment suits them if they have a health condition?
No. If a client mentions pregnancy, an injury or an illness, the message goes to the therapist or receptionist. AI can describe treatments using your own texts, but contraindications are for a specialist to assess.
How much does it cost?
The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.
Do we need to change our current systems?
No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation
Tell me what keeps repeating in your company every day
We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
