Where the manual work goes

On the left, how these tasks are often done today; on the right, what could take them over. Not everything is worth automating, so we start with what takes the most time.

In practice

Example: a weekly project update for each client

An interior design studio runs a dozen projects at once. Clients keep emailing to ask what’s happening, and on Friday evenings the designers write status reports instead of working on drawings.

  1. 1

During the week, the team tracks project tasks where they already work: Trello, Asana, ClickUp or Google Sheets. No new software is installed.

  2. 2

On Friday, n8n gathers each project’s tasks closed and started that week, next week’s work and any questions waiting on the client.

  3. 3

AI turns those points into a short, human-sounding update: what’s done, what’s next and what’s needed from the client, such as approving a tile choice.

  4. 4

The update lands in the project lead’s Gmail as a draft. They read it, edit or add to it, and send it. Nothing reaches a client without that review.

  5. 5

If the client replies with a decision, the reply is attached to the project card so the whole team can see it.

Result: An update takes a few minutes instead of an hour, and clients ask fewer questions because the information comes to them. Studios working this way save 5–8 hours a week.

Process

How the setup works

  1. 1

    Your message and my reply

You tell me what keeps repeating. I reply by email with where it makes sense to start and, if needed, we set up a call. The price is agreed in writing before work starts.

  2. 2

    Build and test

I build the automation in your accounts, test it with real situations and fine-tune the details.

  3. 3

    Launch and support

I launch it and train your team. The first working solution takes 1–2 weeks.

FAQ

Frequently asked questions

More about prices on the pricing page.

Can AI review drawings or renderings?

Not to a level you could rely on. AI works with text: task names, comments and emails. Drawings, code compliance and design decisions are the architect’s call.

How do we send large files without clients getting lost between versions?

We don’t send files as attachments. When a stage is approved, the final version moves to a “Client” folder in Google Drive or Dropbox, and the client gets a link labeled with the stage name. That way it’s always clear which version is current.

Does this work if every architect tracks tasks differently?

That’s the most common obstacle. Before building anything, we agree on a few simple rules, such as tagging client questions with one label. Without a shared routine, the updates will be inaccurate, and no tool can fix that.

How much does it cost?

The first solution starts at €450. The exact price depends on how complex the process is and how many integrations it needs. Once it is clear what we are building, I give you a fixed price in writing before work starts, with no commitment.

Do we need to change our current systems?

No. The automation connects to the systems you already use: Gmail, Google Sheets, your CRM or others. Extra costs depend on the solution: you may need a platform subscription, AI model usage or other services. We discuss them before we start.

Let's discuss your situation

Tell me what keeps repeating in your company every day

We will work out where to start: maybe using your current tools differently is enough, maybe something is worth automating. If it is worth building, you get a plan and a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
