Xero accounting automation and integration
Automate Xero accounting processes: invoice sending, payment tracking and sync with your e-commerce store or CRM.
From €450Up and running in 1–2 weeksIn your own Xero account
How it works
Xero at the centre of your systems
Xero is connected to your other systems through n8n, Make or Zapier. Data moves automatically, and AI is added where free text or a document needs to be read.
Use cases
What you can automate with Xero
- 01
Automatic invoice sending
Xero invoices are sent to clients automatically at the set time, with no manual work.
- 02
E-commerce → Xero
Shopify or WooCommerce orders automatically create Xero invoices and income entries.
- 03
Payment reminders
Automatic emails to clients about unpaid invoices after 3, 7 and 14 days.
- 04
CRM sync
Xero contacts and invoices sync automatically with your CRM.
In practice
Online store orders become Xero invoices with payment reminders
A company registered in Lithuania as part of a foreign group keeps its books in Xero because the parent company chose it. Wholesale orders from Shopify are retyped into Xero every week, and unpaid invoices are tracked in an Excel sheet.
- 1
I connect an app to Xero through OAuth: you approve access to a specific organization and only the needed scopes, such as invoices and contacts.
- 2
When a wholesale order comes into Shopify, an n8n workflow finds or creates the contact in Xero by company code or email and creates an invoice with line items, the VAT rate and the payment due date.
- 3
The invoice stays as a draft until your accountant approves it. Once approved, it’s sent to the customer from Xero.
- 4
For payment reminders, I first use Xero’s built-in invoice reminders. The workflow only adds what Xero doesn’t do, such as creating a CRM task for the sales rep when an invoice is 14 days overdue.
- 5
Each week, you get a summary of unpaid invoices by customer.
Result: Orders reach Xero without retyping, and late payments immediately become a specific task for the person responsible.
What you need
What we need to get started
A working Xero account
Giving me access is enough. The account and everything built in it stays in your name.
A described process
It is enough to know which task you want to make easier, for example: “every Monday I collect sales numbers by hand”.
Time for a few questions
I reply by email and, if needed, we go through the details in a short call. The initial discussion is free.
No programming knowledge
I handle all the technical work. You need neither IT knowledge nor code.
Process
How the integration works
- 1
Discussion
You tell me what you want to connect. I reply by email and, if needed, we talk. Free, with no commitment.
- 2
Plan
Before work starts you get an integration plan and a fixed price in writing.
- 3
Build
I set up the Xero integrations and test them with real situations.
- 4
Launch
I launch it and train your team. For 30 days after launch I fix bugs for free.
Trademarks mentioned belong to their owners. Aigentas.lt is not an official partner of these companies unless stated otherwise.
Does Xero handle Lithuanian VAT and VMI reporting?
Xero isn’t built specifically for the reports VMI (the Lithuanian tax authority) requires, such as i.SAF (the monthly invoice register). Companies that use it often have a separate solution for those reports. Always discuss this with your accountant; the integration passes data along but doesn’t change how reporting is done.
What access to Xero do we give?
You connect through Xero’s official OAuth screen: you choose the organization and approve the allowed scopes. No password is needed, and you can disconnect the app in Xero settings at any time.
Does the Xero API have limits?
Yes. Xero limits the number of calls per minute and per day for each organization, and its API terms for apps have changed recently. That’s enough for typical small business volume, but I split large imports into batches. I check the current terms before we start.
How much does an integration cost?
The first solution starts at €450. The price depends on how complex the workflows are and how many there are. I give you a fixed price in writing before work starts, with no commitment. Tool subscriptions usually cost €10–50/month.
What if the integration stops working?
For 30 days after launch I fix bugs for free. After that you can order support from €150/month (cancel any time). If something breaks because of outside changes, let me know and I will fix it.

Xero integration
Let’s discuss what is worth connecting to Xero
Show me how you work now. If the integration will not pay for itself, I will say so. If it is worth it, I will send a plan and a fixed price in writing before any work starts.
- 1
You tell me what matters to you
A few sentences are enough: which task eats up your time or what you would like to change.
- 2
I read it and reply by email
Within 1 business day I write back with what I would suggest and what we still need to clarify.
- 3
A call, if it helps
If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
