A weekly ritual in many companies: every Monday morning someone spends 1–3 hours copying data from the CRM, the online store, accounting and social media into an Excel sheet, then does the calculations and sends it to the manager. That is 50–150 hours a year of purely administrative work.
An automated reporting system does the same in a few minutes, always on time and always with the right data.
By handAutomatically
Time every Monday (worst case)
Upper limits from this article: 1–3 h by hand, 2–5 min with an automated workflow.
What data can be collected automatically?
Sales data: the Pipedrive, HubSpot or other CRM API lets you automatically get the week's deals, new contacts and conversion rates. E-commerce data: WooCommerce, Shopify or Paysera (a Lithuanian payment provider) exports go into Google Sheets automatically.
Financial data: many accounting systems (e.g. Rivile, Site.pro) have an API or allow CSV exports, which can be automated. Marketing data: Google Analytics, Facebook Ads and Google Ads data are available through official APIs.
Social media: Facebook, Instagram and LinkedIn page statistics are pulled into reports automatically. Even data that has no API can often be exported automatically by parsing emailed reports.
How to use Google Sheets as an automated reporting hub
Google Sheets is a great platform for automated reports: n8n or Make can write data into Sheets rows, formulas automatically calculate totals and metrics, and the free Google Data Studio (called Looker Studio until April 2026) shows everything in charts and tables.
A typical reporting setup: every Monday at 7:00 n8n gets data from all sources → writes a new row in Google Sheets → the Data Studio report refreshes automatically → the manager gets a Slack message with a link to the report. The whole process takes 2–5 minutes.
- 1The workflow runs on Monday at 7:00n8n
- 2Data is collected from all sourcesCRM · online store · Google Analytics
- 3A new row is writtenGoogle Sheets
- 4Charts and tables refreshData Studio
- 5The manager gets a link to the reportSlack
The whole workflow takes 2–5 minutes and repeats every week without reminders.
The advantage of Google Sheets: all team members see the same data source in real time. No more "everyone has their own Excel" problem.
Slack or email reports: which is better?
Slack reports: suited to daily or weekly short summaries with the key numbers. The manager gets the information where they already communicate. The downside: long reports become awkward in Slack.
Email reports: suited to more detailed weekly or monthly reports with tables and charts attached. The advantage: easy to forward, and you can attach a PDF.
Best practice: Slack for short daily summaries (e.g. "Today: 5 new leads, 2 deals"), email for the detailed weekly report with a Data Studio PDF attachment (Share → Schedule delivery).
How much does setting up automated reports cost and how long does it take?
A simple Google Sheets + n8n connection (2–3 data sources, a weekly report): €450–600 setup. A full automated reporting package (5+ sources, Data Studio visualization, Slack + email delivery): €600–1,200 setup.
Time: a simple solution takes 3–5 working days. A complex one with many integrations takes 1–2 weeks. Monthly support costs €80–150, if needed.
Automating reports often saves several hours a week and gives you more accurate information for making decisions.
