In short: invoice automation in your accounting software means a sales invoice creates itself from an event (a deal won in the CRM, an order paid), and incoming supplier invoices are read with AI and entered without retyping. In Lithuania this is usually done with Site.pro (formerly B1.lt), Rivile and Xero through their APIs or import files, using n8n or Make. One such flow costs from €450 with me and is set up in 1–2 weeks.
Many companies with 5–50 employees still copy the client's name, VAT code, amount and service description from the CRM into the accounting software, 20–200 times a month. This article covers the concrete integration logic for popular accounting programs, example scenarios, i.SAF requirements and the most common mistakes. If you are still choosing the software itself, see the comparison (Invoicing software in Lithuania 2026), and for a detailed cost breakdown (Invoice automation cost 2026).
Why manual invoicing costs more than you think
A simple calculation: if one invoice (copying, checking, sending, archiving) takes about 8 minutes and an hour of work costs the company €12–18, one invoice costs €1.60–2.40. 50 invoices a month means €80–120 in direct labor costs; 200 invoices means €320–480 a month. Then add errors: a wrong VAT code or amount means a credit note, extra emails with the client and another half hour of corrections.
Automation cuts these costs in two ways: data is taken from the source without retyping, and checks (is there a VAT code, do the amounts match, is the invoice a duplicate) stop an error before the invoice is even created.
Which Lithuanian accounting software works for invoice automation?
Site.pro (formerly B1.lt). The B1.lt accounting software now runs under the Site.pro name; the b1.lt address redirects to site.pro. Invoicing is free; accounting costs €7 per company per month excluding VAT plus a user plan (as of October 2026). The software advertises integrations and an API, sync with Shopify, Amazon, Etsy, Pigu.lt and Varle.lt, AI invoice recognition and an MCP interface for AI agents. Typical scenarios: an online store order → an invoice in Site.pro; a supplier PDF from email → recognition → a purchase document with the status "awaiting review".
Rivile. Rivile GAMA has a REST API (Rivile API v2): the first key for one database with up to 100 requests a month is free; for larger volumes it costs €18–144 a month; you need a valid version access agreement or the GAMA-2 package. Rivile ERP (the cloud version, from €19 per user per month) has built-in AI digitization of purchase invoices, with up to 10 documents a month free. If there is no API, data is transferred with import files.

- 1 "Pirkimų sąskaitos" (Purchase invoices): the list of purchase documents
- 2 "Sukurti naują" (Create new): opens the menu
- 3 "Skaitmeninti sąskaitą" (Digitize invoice): AI reads the uploaded PDF or photo and creates a draft
- 4 i.SAF: a button in the same list
Xero: when the business is international. Xero has a mature API and ready-made connectors for Make, Zapier, Pipedrive and HubSpot. However, Xero does not prepare the Lithuanian i.SAF registers (the monthly VAT invoice registers filed with VMI, the Lithuanian tax authority) itself, so an extra step is needed: data is exported and converted into the i.SAF XML format or passed to the accountant's software. Xero suits companies whose clients are mostly abroad; if local reporting matters most, a Lithuanian program is simpler.
A note on Apskaita.io. An earlier version of this article also covered Apskaita.io. In October 2026 its website is unreachable and no public information about its API could be found, so it is no longer described. Other programs (Directo, Finvalda, Labbis, Invly, F-Sąskaita) can be connected too, as long as they have an API or export and import files.
AI agent + accounting software: what actually gets automated
CRM → accounting: deal won → invoice. A sales manager marks a deal as won in Pipedrive or HubSpot → the flow gets the signal via a webhook → collects the client's legal name, company and VAT codes, the service and the amount → creates the invoice in the accounting software → sends it to the client. The most important part is the check: if the CRM is missing a VAT code or address, the flow stops and notifies the sales manager instead of creating a wrong invoice.
Email → invoice. A colleague writes "INVOICE: [client] [amount]" or a client accepts a proposal → AI recognizes the email type, takes the data from the CRM and the email → creates a draft invoice → the accountant approves it with one click.
PDF OCR → accounting: incoming invoices. An email with a PDF → OCR extracts the text → AI identifies the supplier, VAT code, number, date and amounts → it checks that the amounts add up and that the invoice is not a duplicate → a record is created with the PDF attached. Electronic PDF invoices are recognized very accurately, scanned ones less so, so uncertain cases always go to a person. More on how this works in (AI in accounting), and on VAT invoice specifics in (VAT invoice automation).

The third scenario described above as a diagram. Scanned invoices are recognized less accurately than electronic PDFs, so do not skip the check step.
3 example invoice automation scenarios
Below are illustrative scenarios with indicative calculations, not specific clients' cases.
Marketing agency, 20 invoices a month. 12 retainer clients (a fixed amount on the 1st of each month) and 8 invoices for work done. Retainer invoices are created fully automatically from the contract terms; variable ones from time tracking data (Toggl, Harvest), with approval before sending. Roughly 5–8 hours saved per month.
Online store, 200 invoices a month. Some buyers are companies that need a VAT invoice. Order → the flow checks whether the VAT code given is valid (VIES) → the invoice is created in the accounting software → sent to the buyer. At this volume manual work often adds up to several dozen hours a month, so automation pays back fastest.
Consulting firm, 50 invoices a month. Invoices are issued after a project milestone, amounts vary, and some clients require their own purchase order (PO) numbers. CRM stage "Invoice ready" → the flow collects the project data → creates a draft with the extra fields → the manager approves → the invoice is sent. Invoices go out the same day instead of several days later.
i.SAF and VMI requirements: what invoice automation must ensure
Automatic invoicing does not remove the requirements of the VAT law. Every invoice must include the seller's and buyer's names, company codes and VAT payer codes (if applicable), series and number, date, a description of goods or services, quantity, price, VAT rate and amount, and the total. The flow must check these fields before creating the invoice.
i.SAF. VAT payers (except under the small business scheme) submit registers of issued and received VAT invoices to the i.SAF subsystem of VMI's i.MAS. Legal entities do so for each calendar month, by the 20th of the following month, even if there were no invoices. The register is usually prepared by the accounting software (an XML file or a web service), so what matters most is that automatically created invoices land in the same software with correct data. VMI checks the format and discrepancies, but the company is responsible for the data being correct.
SABIS. If you sell to the public sector, invoices to contracting authorities are submitted through SABIS (which replaced "E. sąskaita" on September 1, 2024). This can be included in the same flow.
How much does invoice automation in accounting software cost?
A first solution, one clear flow such as CRM → invoice or incoming PDF recognition → accounting software, costs from €450 with me. We agree the scope and price in writing before starting, and I set it up in 1–2 weeks. On top of that come tool fees (e.g. n8n Cloud Starter at €20/month billed annually, an AI model API usually a few euros a month), and maintenance, if needed, from €150/month.

5 invoice automation mistakes to avoid
1. Automatic sending without review in the first weeks. A new flow will inevitably run into imperfect CRM data. For the first weeks use "create and review", not "create and send". Switch to fully automatic sending only when errors have almost disappeared.
2. Invoice numbering conflicts. When both a person and the flow create invoices, numbers can collide. The fix: a separate series for automatically created invoices, or a full switch to automatic creation.
3. CRM data quality. Automation is only as accurate as its source. Before implementation, check the VAT codes and legal names of your active clients.
4. Undefined exceptions. Several VAT rates, reverse charge, credit notes, client PO numbers: each must either be automated with a rule or handed to a person.
5. Unmonitored failures. APIs sometimes do not respond, and suppliers change their invoice layout. Set up a same-day notification to the accountant if an invoice was not created or entered, and check the registers before the i.SAF filing deadline.
FAQ
Can AI issue an invoice with VAT automatically? Yes, if the VAT rate rules are clearly defined. The standard 21% rate is usually simple to apply; if you have several rates or transactions with EU companies (reverse charge), the flow has to check the service category and the client's country. I recommend starting with one standard scenario.
Will automatically created invoices work for i.SAF? Yes. The i.SAF registers are generated by the accounting software, so an invoice created through the software's API or import reaches the register the same way as one entered by hand. The data must be correct: VMI may flag discrepancies, and the responsibility stays with the company. For specific cases, consult your accountant.
Does B1.lt still exist? The B1.lt accounting software is now called Site.pro; former B1 users work in the same system under the new name.
