In short: in Lithuania in 2026, invoice automation is priced in one of two ways. A ready-made OCR tool charges about €0.18–0.58 per invoice (or a monthly subscription), while a custom workflow that collects invoices from email on its own, reads them with AI, checks them and passes them to your accounting software costs from €450 one-off with me. Tool fees come on top, usually €20–50 a month.
Below you will find all the prices with sources (checked on October 17, 2026), a calculation of when automation pays off, and what actually drives the final amount. If you are still choosing the software to issue invoices with, start with the comparison of invoicing software in 2026.
How much does invoice automation cost: the short answer
| Option | Price | Best for |
|---|---|---|
| OCR built into your accounting software | €0 (e.g., Rivile ERP, up to 10 docs/month) or per document | Up to ~50 incoming invoices a month, one program |
| Ready-made digitization service | ~€0.18–0.58 per invoice or a €100–285/month subscription | Hundreds of invoices, human checking needed, you do not want to set anything up |
| Custom automated workflow | From €450 one-off + ~€20–50/month for tools | Invoices arrive from several places; you need rules, approvals, a link to your CRM or bank |
| Maintenance (optional) | From €150/month | When you want someone to monitor and extend the workflow |
What makes up the cost of invoice automation
Every invoice automation quote has three parts. It is worth seeing them separately, because vendors often show only one:
- One-off setup.Designing and building the workflow: where invoices come from (an email inbox, Google Drive, a supplier portal), which fields need to be extracted, which checks run (VAT number, amount, duplicates), where the result goes (Rivile, Site.pro, Directo, Xero, Google Sheets) and who approves the exceptions.
- Monthly tool fees.The automation platform (n8n, Make or Zapier), the AI model API or OCR service, and sometimes an extra API module for the accounting software (e.g., the Rivile GAMA API is priced by the number of requests).
- Maintenance.A supplier changes its invoice layout, the accounting software updates its API, a new document type appears. You can look after this yourself or hand it over to me.
OCR invoice processing cost: ready-made tools in Lithuania (October 2026)
If all you need is to read incoming invoices and move the data into accounting, a ready-made tool is often the cheapest route. I checked the prices on the vendors' websites on October 17, 2026; they are listed the way the vendor publishes them (usually excluding VAT).
| Tool | Price | Notes |
|---|---|---|
| Rivile ERP document digitization | Up to 10 documents a month free | Purchase invoices are read with AI straight into Rivile ERP. Rivile ERP itself costs from €19 per user per month. |
| ivesk.lt | €0.30 (up to 250 docs), €0.23 (>2,000), €0.18 (>10,000) | You pay only for processed documents; a person checks every document |
| Fitek | €12–20 per user per month + €0.23 / €0.38 / €0.58 per invoice | €0.23 for AI reading only, €0.38 with human checking, €0.58 at line-item level. Includes approval flows and e-invoices |
| Labbis AI invoice digitization | €0.09–0.20 per page, plans €100–285/month | Built into Labbis KONTO; other systems need an integration |
| Fintech lab "Išmani sąskaita" (Smart Invoice) | €249 flat up to 250 docs/month; €0.10–0.30 for larger volumes | Export to Excel, XML or via API (JSON) |
Note that these tools solve the reading. Collecting invoices from several inboxes, matching them against the order or the bank payment, notifying the manager and passing data to several systems often stays manual. That is exactly the part a custom workflow handles. For more on how the reading itself works, see AI OCR for VAT invoices.
How much does custom invoice processing automation cost?
With me, the first solution costs from €450. The initial discussion is free: you write how you handle invoices now, I reply by email, and we agree on the scope and price in writing before starting. Setup takes 1–2 weeks. A first solution usually covers one clear workflow, for example:
- supplier PDF invoices from the invoices@your-company.com inbox are read automatically with AI;
- the mandatory fields are extracted: supplier, company and VAT numbers, invoice number, date, amount excluding VAT, VAT, total;
- the system checks whether the amounts add up, whether the invoice is a duplicate and whether the VAT number is valid (VIES);
- the data goes to Google Sheets, an import file or straight into the accounting software via API;
- doubtful cases are sent to the accountant for approval by email or a Slack / Teams message.
- 1An invoice arrives in the inboxinvoices@your-company.com
- 2AI reads the mandatory fields
- 3Amounts, duplicates and VAT number are checkedVIES
- 4Data goes into accountingGoogle Sheets · import file · API
- 5The accountant approves doubtful casesEmail · Slack · Teams
More complex projects, such as several document types, issuing sales invoices from the CRM or matching payments against the bank statement, cost more and are quoted individually. All service prices are on the pricing page, and what such a workflow looks like for an accounting team is described on the automation for accounting page.
For comparison: other vendors' prices for similar work vary widely. A simple workflow usually costs a few hundred euros, while a full ERP integration can cost several times more. When you compare quotes, look not only at the total but also at what is included: checks, an exceptions queue, documentation and who pays for the tools.
Monthly tool costs
| Tool | Price (October 2026) | Comment |
|---|---|---|
| n8n Cloud Starter | €20/month (billed annually) | Enough for most projects with one or a few workflows; Pro is €50/month. |
| n8n Community (self-hosted) | €0 license + server cost | Data stays on your own server in the EU; someone has to look after updates |
| Make | Free plan: 1,000 credits/month; paid plans by credit volume | Every module action = 1 credit, so the cost grows with the number of invoices |
| AI model API (OpenAI, Anthropic, Google) | Pay as you go | Reading one invoice usually costs a fraction of a cent; 200 invoices a month usually fit into a few euros |
| Rivile GAMA API | First key up to 100 requests free, then €18–144/month by volume | Requires a valid version access agreement or the GAMA-2 package |
When does invoice automation pay off: the calculation
The software maker Rivile states on its document digitization page that entering one invoice by hand takes about 5–10 minutes (this is the vendor's estimate, not an independent study), and in Fitek's 2026 survey of 350 accountants processing one purchase invoice took 12.9 minutes on average. Your number may differ, so it is best to measure it yourself for a week. A simple formula:
Invoices per month × minutes saved ÷ 60 × hourly cost = saved per month
Example (an illustrative calculation, not a client case): 150 invoices × 7 min ÷ 60 = 17.5 hours × €15/hour = about €260 a month. A €450 setup plus ~€30 a month for tools pays off in roughly 2 months.
At 30 invoices a month the same calculation gives only ~€50 a month, so in that case choose the OCR built into your accounting software first.
ToolsValue of work saved
150 invoices a month
30 invoices a month
Illustrative calculation from the text: 7 min saved per invoice, €15/hour. At low volumes, choose the OCR in your accounting software first.
Time is not the only benefit. Automatic checks catch duplicates and wrong VAT numbers before the i.SAF registers (Lithuania's monthly VAT invoice reports) are filed (legal entities file them by the 20th of the following month), and documents no longer get lost across inboxes.
What raises and what lowers the price
| Raises the price | Lowers the price |
|---|---|
| Accounting software without an API (file import or a screen robot only) | Software with an API or a clear import format (CSV, XML) |
| Line-item reading for warehouse goods | Totals are enough (amounts, VAT, supplier) |
| Several document types: invoices, delivery notes, contracts | One document type, one source |
| Complex approval chains by amount and department | One responsible person approves exceptions |
| Scanned, handwritten, poor-quality documents | Electronic PDFs from suppliers' systems |

Frequently asked questions
How much does invoice automation cost?
One automated invoice workflow (for example, incoming PDF invoices from email are read and entered into a spreadsheet or an accounting software import) costs from €450 one-off with me. Tool fees come on top: n8n in the cloud from €20/month or your own server, and the AI model API, usually a few euros a month. Maintenance, if you need it, starts at €150/month.
How much does OCR automation cost per invoice?
In ready-made Lithuanian services, as of October 2026, one invoice costs about €0.18–0.30 (ivesk.lt), €0.23–0.58 (Fitek, depending on the level of checking) or €0.09–0.20 per page with a monthly subscription (Labbis). Rivile ERP users get the first 10 documents a month scanned for free.
Is automation worth it if I receive 30 invoices a month?
Usually not as a custom project. At 30 invoices a month, manual entry takes about 3–5 hours, so it is cheaper to use the OCR built into your accounting software or a ready-made tool. A custom workflow pays off faster at around 80–100 invoices a month or more, or when invoices come from several sources.
Do I have to pay every month?
My setup is a one-off fee. The only monthly costs are the tools you use (an n8n or Make plan, the AI model API). A maintenance contract from €150/month is optional: you need it if you want me to monitor, change and fix the workflow.
Which accounting software can it connect to?
Most often Rivile (Rivile GAMA has a REST API, Rivile ERP has imports and integrations), Site.pro (formerly B1.lt), Directo, Xero, and also Google Sheets or Excel, from which the accountant imports the data. I choose the specific method once you tell me which software you use; the initial discussion is free.
How long does setup take?
One workflow takes 1–2 weeks. In the first weeks the system runs in "create and review" mode: AI prepares the entry and a person approves it, until accuracy reaches a level you are comfortable with.
