In 2026, Google Workspace is not just Gmail and Google Docs. Since Gemini was integrated across the Workspace platform, every Business Starter or Standard plan user has access to AI features that used to be reserved for Enterprise customers. Yet many Lithuanian business teams use Workspace the same way they did five years ago: emails written by hand, data entered by hand, document templates left unused. In this article I show five specific automations that small and medium Lithuanian companies can launch within a week, without a developer and with no extra budget or a minimal one. If you have not yet read the Google Workspace business guide, I recommend starting there to understand the platform basics (Google Workspace administration for business).
What changed in 2026: Gemini is built into Workspace as standard
Until January 2025, Gemini in Workspace apps was a separately purchased add-on (Gemini Business / Enterprise, about €20–30 per user per month). From January 2025, Google included Gemini features in the Workspace Business and Enterprise plans while raising their prices: in the US price list, Business Starter is from USD 7 and Business Standard from USD 14 per user per month on an annual plan (the euro price depends on the region and changes). The cheapest Starter plan has a more limited set of AI features than Standard. The practical result: a team that already pays for Workspace no longer needs to buy a separate AI add-on. For comparison, ChatGPT Plus costs about USD 20 per user per month (excluding VAT), i.e. about USD 200 for a ten-person team, while Gemini in Workspace is built in right where the team works: Gmail, Docs, Sheets, Meet, with no extra licenses and no separate logins.
The difference between using ChatGPT separately and Gemini built into Workspace is fundamental: the built-in AI sees your emails, documents and meeting transcripts without any copying and pasting. Employees work in one environment, which cuts the cost of context switching and lets the AI give answers based on the real work context rather than a general knowledge base. 5 examples you can try this week
Example No. 1: Gemini in Gmail, an automatic email summary in 5 seconds. The Gemini side panel in Gmail gives a summary of any email or a whole thread in one click. In a long customer thread (three pages of an email chain), Gemini gives a structured summary in 5 seconds: the question, the latest status and the action needed. To use it: Gmail → the Gemini icon in the side panel → Summarize this conversation. No setup is needed if you have Workspace Business Starter or Standard. For an employee who gets a lot of email, this can save a good amount of time that used to go into scrolling through long email chains to understand the overall situation.
Example No. 2: Google Sheets + Gemini, data cleanup and analysis without formulas. Raw data often contains errors: different date formats, duplicate rows, non-standardized city or product names. Instead of VLOOKUP and complex text manipulation formulas, Gemini in the Sheets side panel accepts natural language instructions: Find all rows where column B has duplicate values, or Generate a summary table by region and month. This is especially useful for team members who do not know spreadsheet formulas but have to work with data regularly. More on Google Sheets automation options: (Google Sheets automation for business). Example No. 3: Google Docs + Gemini, meeting minutes from Meet transcripts. Google Meet can generate transcripts automatically (according to Google, for English and several other major languages; Lithuanian is not yet supported for saved transcripts, so a separate speech recognition tool is often used for Lithuanian meetings). Gemini in Docs turns 40 minutes of transcript text into structured meeting minutes: decisions made, who is responsible for what and specific deadlines. This considerably shortens writing the minutes by hand, which often takes 20–30 minutes after each meeting.
Example No. 4: Apps Script + OpenAI, custom automation with categories. When the standard Gemini features are not enough (for example, you need complex category logic or integration with third-party systems), Google Apps Script together with the OpenAI API gives almost unlimited options. A sample workflow: Gmail → Apps Script reads new emails → sends the content to the OpenAI API → categorizes it automatically (customer, supplier, complaint, sales enquiry) → writes a Google Sheets row with the category, sender and date → sends an email or Slack notification to the responsible team member. This workflow runs automatically, with no human involvement, 24 hours a day. Example No. 5: Drive + Gemini, searching documents in natural language. Find all 2025 contract documents with suppliers from Latvia: a query like this to Gemini search in Drive returns semantically filtered results, not just matches on the file name or metadata. This is especially valuable for companies with hundreds or thousands of documents in Drive and no clear folder structure.
Example: an Apps Script + OpenAI workflow in 30 minutes
- 1The script runs every 15 minutesApps Script timer
- 2New emails are readGmail
- 3Each email is given a categoryGPT-4o-miniCustomer, supplier, complaint, sales enquiry or other.
- 4A row in the sheet and a notification to the ownerGoogle Sheets · email or Slack
This scenario suits a team that needs to process the Gmail inbox flow automatically and categorize it into Google Sheets. The logic in four steps. Step one, the trigger: Apps Script runs every 15 minutes on a Google Workspace timer, free and without any server. Step two, reading the data: the script reads new Gmail messages with a specific label, or all messages received in the last 15 minutes. Step three, the OpenAI API call: each email is sent to the GPT-4o-mini model with a system instruction such as Categorize this email: customer, supplier, complaint, sales enquiry or other. Answer with one word. Step four, writing to Sheets and notifying: the category, sender, date and subject are written to a Google Sheets row; the responsible employee automatically gets an email or a Slack message based on the category.
- 1Triggers
- 2Add Trigger
- 3Save
In the Apps Script editor, "Triggers" is the alarm clock icon on the left and "Add Trigger" is at the bottom right. Before clicking "Save", choose the function, a time-driven trigger and the interval. Labels follow the English interface and the Google Apps Script documentation, October 2026.
OpenAI API cost for this scenario: the GPT-4o mini model costs USD 0.15 per million input tokens and USD 0.60 per million output tokens (as of October 2026). For real-world use, a thousand emails a month, that is roughly €1–5 a month. Setup time without a developer: about 2–4 hours using the Google Apps Script templates available in the samples section of the official Google documentation. Adapting the template to your specific categories and rules takes another 1–2 hours. If you hire a specialist, setup costs from €450 one-off. That means a workflow like this often pays for itself within a few months, even with a conservative estimate of the work time saved.
Security and GDPR: what you need to know before launching
The most common question: is it safe to send company data to Gemini or OpenAI? The answer depends on the configuration and the kind of data. Gemini in the Workspace Business and Enterprise plans operates under the Google Workspace Data Processing Amendment (DPA), under which Google commits not to use your Workspace data to train models without permission; how long and where data is stored depends on the administrator's settings (for example, Gemini conversation history and data region policies). OpenAI API customers can sign a data processing agreement (DPA) under OpenAI's business terms, and API data is not used to train models by default. GDPR recommendation: before sending personal data (customer names, email addresses, health or financial data) into AI workflows, assess the legal basis and whether a data protection impact assessment (DPIA) is needed. It is safest to start with internal, non-personal data: product categories, process documents, anonymized reports. For important security or GDPR questions, I recommend consulting a qualified data protection specialist.
When does AI in Workspace pay off, and when does it not?
AI integration in Workspace pays off when a process repeats more than three times a week and is clearly structured and describable by rules; when 85–95% accuracy is acceptable and a person reviews only the important cases; when the team already works in Workspace and does not want to learn a new platform; when you want to save 20–40 minutes a day without extra license costs. AI integration in Workspace does not pay off when 100% accuracy is required, as in legal or financial documents with direct consequences and no human check; when it is a one-off analysis that is faster to do by hand; when the data is especially sensitive and there is no DPA with the vendor yet; when the team does not want to or cannot fit AI into its daily workflow, or lacks the minimal technical skills for configuration.
Frequently asked questions
Is it worth paying for Gemini Business if I already have ChatGPT Plus? It depends on your workflow. If the whole team works in Workspace and wants AI right in Gmail, Docs and Sheets without copying context into a separate window, the Gemini integration gives more day-to-day return. ChatGPT Plus is better for individual analytical work, specific content generation or more complex multi-step reasoning. Many teams choose both: Gemini for everyday workflows in Workspace, ChatGPT for specific projects or deeper analysis. How much does an Apps Script + OpenAI setup cost? Apps Script is free: it is included in every Workspace plan. OpenAI API: the GPT-4o-mini model costs €1–20 a month for a working email flow, depending on the number of emails. The main cost is setup time: 2–4 hours with a template and do-it-yourself configuration, or from €450 if you hire a specialist. Want me to build a solution like this in your Google Workspace?
