Short answer: email automation in a business means handing repetitive email tasks over to a system: an automatic confirmation when an enquiry arrives, sorting emails and passing them to the person responsible, reminders to customers who have not replied, and moving data from an email into a CRM or Google Sheets. It happens in the Gmail or Outlook you already have; there is no need to change your email system.

According to the McKinsey Global Institute (2012), office workers spend about 28% of their working week handling email. A large share of that time goes into repetitive tasks: the same replies, sending reminders, forwarding notifications to the team.

The good news: these repetitive tasks are exactly the easiest to automate. And you do not need to change your email system; the work happens in the Gmail or Outlook you already use.

Which email processes are most often automated?

Automatic replies to frequent questions: the system recognizes the subject and content of the email and either sends a prepared reply or passes the email's information to the person responsible.

Routing new enquiries: every new enquiry email is automatically classified and passed to the right team member, with no manual review.

Sending reminders: if a customer has not replied within 3 days, the system automatically sends a reminder. If there is still no reply after a week, another one. All without tracking it by hand.

Reminders you don't have to track by hand
  1. 1You send an offer or a question to a customer
  2. 2No reply within 3 days: first reminder
  3. 3No reply within a week: second reminder
  4. 4The customer replied: the sequence stopsFrom here, you write.

Extracting data from emails: a new order or enquiry arrives by email → the system automatically extracts the important data (name, contact details, order information) and puts it into the CRM or Google Sheets.

What can you automate in Gmail and Outlook?

Gmail integrates well with n8n, Make and Zapier. It also has its own built-in filters and automatic labels. For more complex scenarios, the Gmail API is used through automation tools.

Gmail: a filter that applies a label or forwards emails on its own

  2. 2Search
  3. 3Create filter
  4. 4Create filter

In the search options, enter the criteria (e.g. the sender or words in the subject), check the results, then choose an action: a label, forwarding or archiving. Based on the Gmail Help Center, October 2026.

In an Outlook / Microsoft 365 environment, Power Automate, Microsoft's own automation platform, works very well. It is especially useful if the business already uses the Microsoft ecosystem.

Example: from email to CRM with no manual work

A potential customer sends an enquiry by email. Within a few seconds: the email is classified, the key information is extracted, a contact is created in the CRM, the responsible manager gets a Slack notification, and the customer gets a confirmation.

  2. 2The email is classified and the data extractedn8n · Make + AI
  3. 3A contact is created in the CRMCRM
  4. 4Notification to the manager, confirmation to the customerSlack · email

All of this happens automatically, with no manual intervention. The manager gets everything ready and can contact the customer right away, with context.

Where to start with email automation?

The best start is to work out which emails repeat most often. If you write the same 5–10 replies every week, that is already a very clear place for automation.

The simplest first step: an automatic confirmation for every new enquiry. It can be set up in one day, and the customer immediately knows the email arrived and when to expect a reply.

If you want me to set this up for you: email sequences and replies (Email automation), passing enquiries into the CRM and to the responsible manager (Lead and enquiry automation). Setting up an automatic reply in Outlook is covered separately (Outlook automatic reply).

Let's discuss your situation

Want to put AI to work in your business?

Tell me which task you want to make easier. We will look at whether the AI tools you already have are enough or whether a separate solution makes sense.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
