Your CRM has 15,000 contacts. But active, real ones? Maybe 4,000. The rest: duplicates, wrong email addresses, managers who left long ago still listed in their old roles, companies that stopped operating five years ago. An email campaign sent to a list like that can hit a very high bounce rate: spam filters start blocking your domain, and you risk losing not just the campaign but your domain reputation for a long time. CRM data cleanup is not a one-off project; it is the condition for your CRM to work as a sales tool at all. With AI, a process that used to take weeks of manual work is often done in 2–3 days. In this article: 5 AI cleanup steps, tools that work on the Lithuanian market, an illustrative 18,000-record example and how to stay GDPR-compliant. On CRM automation for small companies more broadly, see (CRM automation for small business).
6 signs your CRM data is dirty
How do you know cleanup is needed now? Email bounce rate above 10%: a healthy rate is usually below ~2%; if yours is higher, the list is full of invalid addresses. Duplicates above 5%: the same person with two records gets two emails, the salesperson sees an incomplete history, and the report misrepresents the pipeline. Empty fields: when "company", "job title" or "phone number" is filled in less than 60% of the time, targeted segmentation becomes impossible. Sales reports do not match reality: the numbers differ from what salespeople know off the top of their heads. Marketing campaign conversion is dropping: emails go out too broadly because there are no quality segments. You do not know when a record was last updated: you cannot tell active contacts from a ten-year-old archive.
How much does a "dirty" CRM cost per year?
CRM mess has a concrete cost that rarely shows up in the P&L. A 10,000-contact CRM with 20% duplicates and 15% invalid email addresses means you pay your sending platform (HubSpot, Mailchimp, ActiveCampaign) for 2,000 contacts that do not really exist: €50–200 a month depending on the plan. More important: a bounce rate above 15% can get your domain blocked. Restoring domain reputation can take from a few weeks to a few months, and during that time email campaigns perform poorly. For a B2B company this can mean thousands of euros of lost potential revenue. The third cost is salespeople's time: if two salespeople work the same contact because of duplicates, one of them loses the deal. A single lost Lithuanian B2B deal covers the whole cleanup project investment.
How to clean CRM data with AI in 5 steps
1: Remove duplicates (fuzzy match, not just email). A simple check looks only at identical email addresses. The problem: the same person may be entered as "Jonas Petrauskas" and "J. Petrauskas", with @gmail.com and @jonaspetrauskas.lt. An AI fuzzy matching algorithm (the Levenshtein distance method) analyzes first name, last name, phone and email together and estimates the probability that two records are the same person. HubSpot (on Professional and Enterprise plans) and Pipedrive have built-in duplicate merge tools, but more complex cases often need extra logic. AI solutions usually find considerably more duplicates than an exact email match. More on what AI agents can do with CRM systems: (AI agents for CRM management).
2: Validate email addresses (bounce, role, free domain). Validation checks three categories: syntax errors (a missing dot or @); a non-existent mail server (MX record check); an inactive address (SMTP ping without actually sending). Role-based addresses (info@, support@, admin@) usually do not belong to a person; sending to them gives a low ROI and raises bounce risk. AI validation tools (ZeroBounce, NeverBounce, Hunter.io) give each address a quality score and recommend which to send to and which to flag for review.
3: Fix phone numbers (Lithuanian format, +370 prefix). Lithuanian phone numbers in a CRM are often entered in different formats: 86x xxx xxx, +37086x xxx xxx, 0037086x xxx xxx. The AI normalization rule: removes spaces and dashes; if the number starts with 8, replaces the leading 8 with +370; if it starts with 00370, changes it to +370; checks the length (Lithuanian mobile numbers: 12 characters with the +370 prefix). Once the format is fixed, the numbers can be synced automatically with an SMS marketing platform.
4: Segment with AI classification. After cleanup, AI classifies contacts by activity: when they last opened an email, when the last sales contact was, whether they match your ICP (ideal customer profile). Four segments are created: "active, last month", "cold, 6+ months", "never replied", "matches ICP but never contacted". Each segment gets a different follow-up scenario; not everyone gets the same email. On integrating AI with your CRM: (HubSpot vs Pipedrive).
5: Ongoing data integrity monitoring. A one-off cleanup does not protect you from future mess. AI monitoring works like this: new records are checked automatically before they are added (duplicate check, email validation); a data quality report with newly appeared problems is generated every week; after 12 months of inactivity, contacts are flagged for review, not deleted, just flagged with a recommendation. Data hygiene becomes an automatic background process instead of a periodic crisis.
- 1Full CSV export before any changesA backup in case you need to restore.
- 2Find and merge duplicatesAI fuzzy matching
- 3Validate email addressese.g. ZeroBounce
- 4Normalize phone numbers to +370 format
- 5Activity segments and human reviewRecords are flagged, not deleted.
- 6Ongoing checks of new records
The five steps described above in one diagram, starting with the export you should never skip before a cleanup.
CRM cleanup tools for HubSpot, Pipedrive and Bitrix24
Different CRMs need different cleanup strategies. HubSpot has built-in duplicate detection and GDPR unsubscribe management; AI tools (Dedupely, ZeroBounce, Clearbit) extend it through the API with fuzzy matching and email validation. HubSpot Data Hub (formerly Operations Hub, Professional plans and above) lets you set up automatic data cleanup workflows. Pipedrive has a built-in "Merge duplicates" tool (Tools and apps → Merge duplicates): it shows possible duplicate people and organizations, lets you choose the primary record and preview the result before merging. It does not merge deals and has no email validation or bulk field cleanup, so a larger cleanup still needs an export, an AI check and a re-import, or an API integration. Bitrix24 offers duplicate search and merge based on exact matches (name, phone, email); finding similar but not identical records requires an API integration. The universal path for any CRM: export → clean with an AI tool → re-import with a change log → set up monitoring. The whole process often takes 2–3 days.

Illustrative example: an 18,000-record CRM in 36 hours
Illustrative scenario: the company and the numbers are built from typical processes and rough assumptions; these are not a specific client's results. Your numbers may differ.
Say an IT services company with 18,000 Pipedrive records (8 years of accumulated data) launches an email campaign and gets a very high bounce rate in the first week; the sending platform suspends sending. A possible cleanup flow: day one, a CSV export and AI duplicate detection (in a list like this, duplicates often make up about a tenth of records or more). Day two, email validation (e.g. ZeroBounce) that would find the invalid addresses; role-based addresses (info@, admin@, support@) move to a low-priority list. Say the final list is about 12,000 contacts instead of 18,000. After cleanup the bounce rate should fall to a healthy level, and domain reputation should gradually recover over a few weeks. The open rate would likely rise too, because emails would reach real, active recipients.

How to stay GDPR-compliant during a CRM cleanup
The GDPR requires personal data to be processed only on a legal basis and for no longer than needed. Three aspects matter most during a cleanup: Checking consent and legal basis. For individuals, direct marketing emails require prior consent (except for the existing-customer case under Article 81(2) of the Lithuanian Law on Electronic Communications). For legal entities (including employees' work addresses, e.g. firstname.lastname@company.lt), from April 22, 2026 such emails may be sent without prior consent, provided every email offers a clear, free and easy way to opt out (explanation by VDAI, the Lithuanian data protection authority, May 2026). Contacts without consent are moved to a separate list, not deleted; if there is a contractual relationship, keeping the data is lawful on the contractual basis. Handling old data. Contacts inactive for 5+ years with no relationship at all are candidates for anonymization: replacing the first and last name with a pseudonym while keeping the deal history for statistics. Change log. Keep an exact record of what was changed and when; you need it to respond to GDPR data subject requests (right of access, right to be forgotten).
After the cleanup: how to keep CRM data clean
Cleanup is the beginning, not the end. Keeping data quality up over time takes four measures. Required fields: email, company and a marketing consent / legal basis tag are required before a new record is saved; without them the system refuses to create the contact. Automatic validation: new contacts from forms, imports or salesperson entry are checked automatically: bounce check, duplicate search, format errors flagged straight away. Periodic reviews: every quarter each salesperson reviews their 10 oldest records and marks whether the contact is still relevant. Bounce rate monitoring: if the bounce rate rises above 5% after a campaign, it is a signal that new data is getting in without validation and monitoring needs to be tightened.
FAQ
Do I need to export CRM data before cleaning it? Yes, it is a mandatory safety measure. Before any major changes, always have a full CSV export with the date and time. It lets you restore data if something goes wrong during the cleanup or if it later turns out that records merged by mistake should have stayed separate. Keep the export for at least 3 months after the cleanup is finished.
How do I avoid deleting important data? Professional AI cleanup tools never change data directly; they mark records as "potential duplicates" or "invalid" and present them to a human for review. The final decision, to approve a merge or a removal, is always made by a person. Automatic deletion without review is bad practice and a potential GDPR violation.
