Onboarding new clients

Client onboarding automation

A new client often means the same string of manual steps: contract, invoice, welcome email, access, scheduling the first meeting. Once the contract is signed, some of these steps can run automatically, and you can focus on the first meeting.

Process

What automated onboarding looks like

  1. 1

    Collecting client details

A form collects all the information you need in a structured way and sends it straight to your systems – not through a chain of emails.
  2. 2

    Sending the contract

The contract is generated with the client’s details and sent for signature within minutes.
  3. 3

Updating the CRM and other systems

Once the contract is signed, the client’s details appear in your CRM, Slack and task manager – everyone is informed right away.
  4. 4

    Welcome and next steps

The client gets a welcome email and a clear plan of what happens next.

Frequently asked questions

Didn’t find your question? Write to info@aigentas.lt and I’ll reply within 1 business day.

Can a non-standard onboarding process be automated?

Yes. If you have at least a few repeating steps, they can be automated. Even if every client is different, we automate part of the process and leave the individual decisions to a person.

Which systems are needed?

I usually work with the systems you already use: Gmail, HubSpot, Pipedrive, Notion, Google Sheets, Dokobit (a Lithuanian e-signature service) and others. You do not need to buy new tools.

How much does it cost?

From €450 for a simple 3–4 step onboarding. A complex integration across several systems usually costs around €1,500 or more. I give you the exact price in writing after reviewing the process, before any work starts.

How long does setup take?

A simple onboarding process takes 1–2 weeks. A more complex one, with document automation and several systems, takes 3–4 weeks.

Let's discuss your situation

Let’s look at how you onboard new clients

Describe how you take on a new client today. I will reply by email with what can be automated, and once the scope is clear, I will send a proposal with a fixed price.

  1. 1

You tell me what matters to you

A few sentences are enough: which task eats up your time or what you would like to change.

  2. 2

I read it and reply by email

Within 1 business day I write back with what I would suggest and what we still need to clarify.

  3. 3

    A call, if it helps

If a call would help, we agree on a time. The scope and price of any paid work are agreed before we start.
